As a Program Assistant, you will play a vital role in supporting the ACTTAY (Assertive Community Treatment for Transitional Age Youth) team by managing non-clinical operations, serving as the first point of contact for clients, and ensuring the smooth coordination of services. We’re looking for someone highly organized, detail-oriented, and passionate about client care. Strong communication skills, patience, and a positive attitude are essential.
In this dynamic role, you will coordinate schedules, triage calls, support intake processes, and assist with reporting and data tracking. You’ll also help ensure client charts are current and accurate, supplies are maintained, and communication flows seamlessly between the team and the individuals we serve. Key Responsibilities:
· Coordinate and prepare daily, weekly, and monthly client schedules
· Serve as the first point of contact for clients and the public with professionalism and empathy
· Manage incoming calls and triage communications between team members, clients, and families
· Support the intake and screening process with accurate documentation and communication
· Participate in daily team meetings and contribute to collaborative planning
· Maintain and update client charts according to required standards
· Order and manage office supplies, equipment, and program vehicles
· Track mileage and ensure regular maintenance of program vehicles
· Collect and organize data for reports and statistics
· Assist with agency policies and maintain communication across departments
· Monitor and manage all phone accounts (landline and cellular) for the program
· Support the resolution of client issues or symptomatic behavior in a calm, helpful manner
Education, Experience, and/or Credential Qualifications:
· Education and/or experience in human services, office management, or both
· Proficiency with Microsoft Office applications, including Excel, Word, and PowerPoint
Additional Qualifications:
· Must successfully pass a background check (criminal record, driving record, abuse/neglect, fingerprint check)
· Valid driver’s license, acceptable driving record, and current auto insurance required
· Highly detail-oriented and skilled in accuracy
· Ability to maintain confidentiality and handle sensitive information
· Strong communication skills and comfort working with a diverse workforce
· Organizational skills and the ability to build relationships across teams
Physical Requirements
· Sedentary work: Exerting up to 10 pounds of force occasionally and/or a negligible amount of force frequently to move objects
· Repetitive movements of hands, fingers, and arms for typing and writing
· Sitting most of the time with occasional walking or standing
