Hybrid positionLocation: Forum 1 - Santa Ana, Costa RicaSchedule: Monday to Friday 6am - 3pm (flexibility 6:30am - 3:30pm)Goals of the position
Maintain vendor compliance for NA and Europe regions.Maintain stewardship controls for JLL P2P (procurement to payment) transactions on client accounts.Support responses to any internal or external audits on procurement and sourcing procedures.Ensure 100% compliance of all sourcing and procurement procedures and records in accordance with all corporate policies.Process and/or approve purchase orders according to SLA of 24 hours for North America.Process vendor creation/update/unblock on JLL and clients' procurement systems for North America and Europe regions.Ensure vendor readiness across various JLL and client systems for business allocation.Responsibilities
Sourcing and Procurement activities
Process requisitions into Purchase Orders (POs) within SLA of 24 hours.Issue and submit POs to suppliers, including emergency services.Monitor and follow up on deliveries, claims, returns, and exchanges of services/goods when required.Serve as commercial liaison between service requesters (from JLL) and suppliers (manage day-to-day issues and relationships) for spot buys of expenses below 10M USD.Ensure compliance with JLL Policies and Procedures, Sourcing Guidelines, and the client's Internal Controls.Perform self-assessment tests on a quarterly basis.Participate in monthly sourcing team meetings.Own and update contract and compliance trackers for each region.
Vendor and Contract ManagementProcess vendor creation/update/unblock on JLL and clients' procurement systems.Ensure Preferred Vendor List (PVL) database is updated with accurate and current information.Ensure internal controls program compliance to pass clients' internal or external audits.Manage communication to vendors.Collect vendor information via surveys.Manage contracts in Jaggaer and follow up on signatures.Collect and report COIs (Certificates of Insurance).Success KeysMaintain strong internal controls, achieving passing scores on self-assessments and audits.Achieve user satisfaction of more than 80% or, in the absence of quantifiable data, obtain concrete positive feedback from key clients (Sourcing and SFM).Ensure vendor files are 100% compliant with JLL policies and procedures.Contribute to regional cost avoidance by reporting savings in a timely manner within each quarter.Requirements
Education/Background
College or technical institute degree. Business administration degree preferred.2+ years of experience in purchasing, logistics, finance, or supply chain management.Advanced English level proficiency.Knowledge of Microsoft Office tools.Experience/Skills
Client relationship management skills.Effectiveness in teamwork and client service.Strong communication skills (both written and oral).Flexibility and ability to "learn along the way."High motivation and willingness to go the extra mile. Highly proactive.Location:
