Purchasing Assistant – Job Description Hours: Monday–Friday, 8:30 AM–4:30 PM Location: On-site, 5 days/week Overview The Purchasing Assistant supports the Purchasing Department by managing RFQs, maintaining accurate vendor and ERP data, ensuring compliance with internal policies, and coordinating key purchasing activities. This role works closely with suppliers and internal stakeholders to support smooth operational flow, timely communication, and reliable purchasing data. Must-Have Qualifications + 3+ years of experience in purchasing, procurement, or administrative support + Experience with ERP systems (Infor, SAP, or similar) is an asset + Proficient in Excel, including the ability to upload data into Power BI and build visual dashboards + Strong organizational and time-management skills + Excellent written and verbal communication skills + Ability to manage changing priorities and handle high volumes of paperwork + Professional, friendly, and confident—comfortable asking questions and seeking clarification + Strong attention to detail with the ability to manage multiple tasks + Honest, flexible, and willing to learn + Experience in vendor management and the RFQ process (asset) Nice-to-Have Qualifications + Post-secondary education in Business Administration, Supply Chain Management, or related field + Ability to read engineering drawings + Manufacturing background (understanding NCRs is an asset) + Experience with category management + Participation in audits, compliance activities, or ISO standards Key ResponsibilitiesRFQ Management + Manage Purchase Requisition Requests from internal departments + Verify and clarify PRF requirements (delivery dates, project details, specifications) + Send RFQs to suppliers and communicate requirements clearly + Keep stakeholders updated on quotation status + Save and maintain quotes and supporting documentation in designated folders Vendor Data Management + Support new vendor onboarding by ensuring all required forms are completed + Process internal requests related to vendor records + Respond to supplier inquiries or coordinate internal information flow + Compare pricing and assist in supplier performance evaluation + Maintain accurate vendor records (documents, contacts, addresses, etc.) ERP Data Management + Ensure product cost data is consistently updated in the ERP system + Assign product categories as needed + Support procurement in maintaining accurate vendor data (shipping terms, lead times, pricing) Compliance & Policy Adherence + Follow purchasing policies, procedures, and compliance requirements + Assist with internal audits and compliance reviews Additional Responsibilities + Prepare data for Monthly Management Reviews + Ensure critical communications from suppliers are escalated appropriately + Respond to inquiries from internal stakeholders and suppliers + Support the manager with: + Supplier contracts + Vendor risk management + Creating purchasing data for internal/external use + Updating purchasing procedures and work instructions + Participate in project activities and process improvement initiatives + Develop and improve Purchasing-related Power BI reports + Complete other tasks as assigned by the Manager Job Type & Location This is a Contract position based out of Calgary, AB.
