Job Description
The Pre-Boarding Specialist ensures every new hire has a smooth, compliant, and timely journey from offer acceptance through Day 1. You’ll coordinate offer logistics, background checks, provisioning, contractor work orders, and first-week readiness—acting as the linchpin between Talent Acquisition, HR, IT, Security, and Procurement. This role blends project coordination, stakeholder communication, and process excellence to deliver an exceptional new-hire experience at scale. This role pays up to $25/hr USD.
Key Responsibilities
• Own the pre-boarding workflow from offer acceptance to start date, ensuring all steps are completed on-time and to policy.
• Launch and track background checks (e.g., criminal, education, employment verification, drug screens) and escalate issues proactively.
• Coordinate provisioning of equipment, system access, badges/IDs, and credentials with IT and Security (e.g., accounts, SSO, MFA).
• Manage contractor/contingent worker setup including work order creation/activation, vendor engagement, rate/PO alignment, and start-date readiness.
• Guide candidates through next steps (forms, I-9/Right to Work, E-Verify, benefits pre-enrollment, training prerequisites, Smart Labor/portals).
• Maintain accurate data in HRIS/ATS/VMS, keeping records audit-ready and aligned with compliance requirements.
• Communicate timelines and status to Recruiters, Hiring Managers, and cross-functional partners; send timely reminders and updates.
• Create Day 1 readiness packs (welcome emails, reporting instructions, site access, first-week schedule, manager checklists).
• Identify and remove blockers—procurement delays, access provisioning, incomplete docs—and drive resolution fast.
• Continuously improve processes via SOPs, SLAs, metrics dashboards, and feedback loops to reduce cycle times and errors.
• Ensure compliance with federal, state, and local employment laws and company policies (privacy, data retention, EEOC, I-9).
