What will I be doing?
\nOrganizes and oversees all tour group arrivals/pre-assigned groups to ensure total group satisfaction. Ensures that all guests are confirmed and specific accommodations are pre-assigned, and all requests for special accommodations are met daily. Handle pre-arrival emails, VIP's, and special guest requests. Answers and dispatches telephone calls. Maintains call logs and ensures guest satisfaction through follow up calls. Resolves guest challenges throughout their stay in our Hotel, and provides prompt and courteous service to meet Company's high standards.
\n\nEssential Functions:\n\n\nEnsure all group resume details have been properly updated in OnQ PMS and communicate any key points to the Front Desk team\n\n\nWeekly update of the group board in the Front Office \n\n\nEnsure all arriving VIP’s have updated and accurate information in OnQ PMS (i.e. Arrival, departure, spelling of name, special requests, amenity requests, VIP status and turndown request)\n\n\nCheck suite distributions and comp rooms as noted in group resumes\n\n\nMake sure all group billing and reservation notes are accurate\n\n\nDaily management of Nor1/Estandby Upgrades\n\n\nDaily Management of E-Check-in website and ensure all reservations are prepared for arrival\n\n\nDaily reconciliation of group/transient no-shows and post charges based on recommendations of groups Event Manager or Front Office Manager\n\n\nAssist with daily balancing of hotel room inventory\n\n\nAssist with managing 3rd party reservations including booking of any unconfirmed reservations found through hotel extranet website, ensure accurate receipt set-up and proper notations are made in OnQ PMS \n\n\n \nAdditional supportive job functions of reservations:\n\n\nHandling guest phone calls associated to group reservations\n\n\nAssist frequent Business Travel guests in setting up long term reservations\n\n\nAssist the Events team with changes to their group reservations\n\n\nAssist with special requests for groups such as pre-assignments or specific room location requests\n\n\nPrint rooming lists from OnQ R&I for Events Managers\n\n\nAssist with building groups in OnQ PMS/R&I and entering rooming lists\n\n\nUse OnQ R&I to monitor and modify inventory in group blocks when needed\n\n\nUse Passkey to set up group blocks and group links\n\n\nSet up billing for group rooming lists\n\n\n
