Practice Administrator Cardiac Physicians

Position Summary:

The Manager of Practice Administration is responsible for the efficient daily operations of assigned offices.  Reporting to the Director of Practice Operations,  is responsible for hiring and supervising  support staff, oversees day- to -day practice operations including maintenance of medical records, human resource management, property and facilities, equipment , billing and adheres to OSHA, JCAHO and DOH requirements. The Manager of Practice Administration  will perform all job functions in a courteous and professional manner consistent with the St. Josephs Health Core Values.

Educational Requirements:

Associates Degree Required. Bachelor’s Degree Preferred in Management or related field.At least five (5) years successful management experience in a hospital or a medical office practice.Proficiency with Electronic Medical Record.Proficiency with Microsoft Office.Excellent attention to detail and organization.Effective speaking and writing skills.Commitment to confidentiality and respect.Demonstrated ability to handle multiple priorities in a deadline-driven environment.Understand and embrace a customer service focus.Ability to work independently, yet function collaboratively within a team.

Job Duties and Responsibilities:

Supervise charge entry staff to ensure charges are entered accurately and according to established guidelines.Lead initiative on point-of-service collections at each office.Review denials and identify areas needing improvement.Work closely with office management staff to work the daily report.Work closely with the CBO to automate insurance verifications and reduce denials.Coordinate and communicate schedule changes to physicians, managers and administration.Working closely with administration, serve as liaison between administration and physicians.Serve as liaison between physicians and all other departments as required to meet operating needs.Collaborate and communicate effectively with Directors, Managers, and others and participate positively and pro-actively on operations and management committees.Provide human resource management services for covered sites including but not limited to:recruitment, orientation and support.review and approve time sheets for payroll processingaddress performance and/or behavior issues appropriatelycomplete annual performance evaluationsarrange schedules and coverage to ensure smooth operation and patient care communicate practice news, changes and other information as neededinvolve the human resources department appropriately in employee relations issuescoach, counsel and support employees and lead by example.

Provide back up in the absence of other St Peter’s Health Partners Medical Associates management personnel.Work closely with administration, finance, human resources, and compliance/QA to communicate and execute practice-wide policies and procedures.Attend and participate in all required physician and management meetings and training sessions.Work closely with finance regarding monthly financial statements and site financial performance.  Share information with physicians in a positive and professional manner.Serve as a resource for physicians and staff with regard to EMR and EPM systems.Coordinate activities related to physician office participation in available incentive programs including Meaningful Use, Patient Centered Medical Home, and PQRS.Maintain patient confidentiality and adhere to HIPAA regulations as appropriate. Work cooperatively with all team members to ensure quality service at all times.Communicate respectfully and effectively with providers, clinical staff, colleagues,

management staff and others.

Participates in daily Patient Care huddles as appropriate.Adhere to St Peter’s Health Partners Medical Associates employment guidelines at all times.Perform mandatory in-service training including but not limited to OSHA and harassment.  Maintains a clean and safe work environment.Perform other duties as assigned.
