Portfolio Coordinator
Job Description We are seeking a proactive and highly organized Portfolio Coordinator to support day-to-day portfolio operations and assist with the rollout and adoption of portfolio management practices. This role plays a key part in ensuring portfolio visibility, operational consistency, and effective communication with stakeholders and executive leadership. The ideal candidate has strong administrative and communication skills and is comfortable translating program and portfolio data into executive‑level reporting. Key Responsibilities Portfolio Operations & Reporting Support daily portfolio operations, including tracking project progress, coordinating schedules, and assisting with resource alignment. Coordinate and deliver bi‑weekly executive priority status reports. Compile, validate, and maintain portfolio dashboards for monthly portfolio reviews and quarterly planning sessions. Portfolio Management Practice Support Assist with the implementation and continuous improvement of portfolio management practices across the organization. Support intake processes and roadmap development to advance portfolio management maturity. Identify opportunities for process improvements and help implement changes to increase efficiency and consistency. Stakeholder Communication & Coordination Facilitate clear and consistent communication between project teams, portfolio/program managers, and key stakeholders. Support communications for quarterly planning activities and provide coaching to domain teams on value delivery work breakdowns and Jira usage. Translate program and portfolio information into clear, executive‑level language. Documentation & Quality Assurance Maintain accurate and up‑to‑date documentation of portfolio processes, standards, and performance metrics. Conduct regular audits of Jira records to ensure data quality and compliance with organizational standards. Address instances of non‑compliance directly with responsible stakeholders. Work Schedule Part‑time role (20 hours per week following the training period) Flexible schedule Monday–Thursday within standard office hours (8:00 AM–5:00 PM, in‑office) Core hours required: Noon–4:00 PM every other Friday for biweekly reporting. Skills and Requirements Entry‑level experience in project, program, or portfolio coordination or administration. Strong written and verbal communication skills, with the ability to present information clearly to executive audiences. Highly organized with strong attention to detail and follow‑through. Experience working with Jira or similar project management tools preferred. No design work or design portfolio required.
