Portfolio Administrator

The Portfolio Administrator will oversee portfolio reporting, trading, and rebalancing while ensuring operational excellence across complex systems. Key Responsibilities + Oversee portfolio reporting, rebalancing, and trade execution for the firm. + Serve as the in-house expert on portfolio reporting/rebalancing platforms and custodial systems. + Manage data integrations between custodians, portfolio systems, and CRM platforms. + Ensure accurate and timely account and portfolio setup. + Monitor portfolios for exceptions and resolve issues promptly. + Collaborate with advisors and the investment committee to ensure accurate portfolio structures. + Coordinate with custodians to ensure timely and precise trade execution. + Prepare and deliver quarterly performance reports to clients. + Document and refine policies and procedures for areas of responsibility. Requirements Qualifications Education & Licensing + Bachelor’s degree or equivalent experience. + Series 65 license (or willingness to obtain within 3–6 months of hire). Required Competencies + Experience in securities trading and investment management. + Familiarity with custodial systems, policies, and procedures. + Database administration or data management experience. + Proficiency in Microsoft Office and CRM systems (Salesforce preferred). + Experience creating and documenting workflows. Preferred Competencies + Experience with portfolio reporting and rebalancing tools (Tamarac or similar). + Background in the Registered Investment Advisor or wealth management space. + Process automation or scripting experience. + Knowledge of portfolio analysis, construction, and due diligence support.
