Our client, a well-regarded private wealth management firm known for its client-focused philosophy and disciplined investment strategies, is seeking a Portfolio Administrator to support its Private Client team in Vancouver. This position is ideal for a detail-oriented professional with deep administrative expertise in wealth management who enjoys working in a collaborative, client-service-driven environment.
Portfolio Administrator responsibilities: Provide day-to-day administrative support for a designated book of high-net-worth clients, trusts, and family entities. Assist with client account administration throughout the lifecycle: onboarding, documentation updates, account maintenance, transfers, and closures. Maintain accurate client records and documentation using CRM tools (Salesforce experience is an asset) and internal systems. Prepare and update client reports, investment summaries, and meeting materials under the direction of advisors. Manage documentation related to transactions and ensure timely processing and settlement of funds and securities. Act as a reliable point of contact for client inquiries, providing responsive and professional service. Liaise with custodians and external partners to support client needs and operational requirements. Support compliance requirements by ensuring accurate records, document retention, and regulatory adherence. The successful candidate has: 3-5+ years of administrative/operational experience in a wealth management, financial advisory, or investment environment. In-depth knowledge of various account types such as RRSPs, RRIFs, TFSAs, RESPs, non-registered accounts, trusts, and estates. Familiarity with investment concepts and terminology (e.g., capital gains/losses, investment income types, KYC/AML). Enrollment in or completion of the Canadian Securities Course (CSC) is preferred. Proficiency in Microsoft Office (especially Excel and PowerPoint); experience with Adobe Acrobat and Salesforce is a plus. Strong attention to detail, organization, and ability to manage multiple administrative tasks effectively. Professional communication skills and a commitment to providing excellent client service. Compensation and Benefits: Competitive salary of $60,000- $70,000, commensurate with experience 3 weeks of vacation. Career development and advancement opportunities.
