Pharmacy Sourcing and Inventory Coordinator - Full-Time - Day
**Schedule** Full-Time: 40 Hours/Weekly 8:00-4:30pm Monday through Friday **General Summary** Responsible for the Pharmacy purchasing, contracting, and inventory functions for assigned regional and other applicable facilities according to system guidelines for cost, quality, and delivery. **Essential Functions:** + Prepares purchase orders, analyzes quotations, and expedites deliveries and shipments based off current inventories and pars. Monitors open purchase orders. + Interviews sales representatives, secures bids and quotes, selects supplies/equipment, and places orders. + Studies market trends, interviews vendors, and recommends sources of supply. + Researches and selects products according to quality, price, technology, contract compliance and serviceability standards. Contacts vendors and facility personnel to ensure actions are completed. + Processes change orders, notifying vendors of material and quantity requirement revisions, contacts vendors on rate adjustments and incorrect materials. + Provides oversite of certifications of delivery and conducts check against order; checks and approves payment of invoices. + Prepares documents to process requests for adjustments for damages, incorrect shipments, and product returns. Monitors and ensures proper credits. + Continually monitors contracts to ensure that the health system and our vendors are compliant with group purchasing organization or independent contracts, pricing is current, and vendors are providing quality products. + Monitors and coordinates product recalls following the system's policies. + Manages inventory levels within assigned pharmacies and other health system facilities based off product usage and criticality as measured by key performance indicator(s). + Oversees annual physical inventory process for all applicable facilities and provides value reporting to Finance and Pharmacy operational leaders. + Coordinates the returns of outdated medications. + Manages the proper receipt, handling, and stocking of product in the pharmacy. + Coordinates or assists with physical inventory and reporting processes as appropriate. + Communicates and documents known drug shortages and applicable inventory levels to the System Drug Shortage Meeting. + Prepares invoice documents for product transfer to other departments and outside locations. + Coordinates facility pharmaceutical related ordering and product acquisition processes. + Acts as an administrator, on behalf of the health system, for technology systems including inventory management software. + Elevates new product requests from facilities to system Pharmacy leadership for stocking consideration. + Ensures product conversions and new product implementations are completed at assigned facilities + Provides cost savings opportunities and associated analytical data through Value Analysis and system Pharmacy. + Provides purchasing coverage to other facilities as needed. **Common Expectations:** + Compiles data for and prepares regularly scheduled or special reports, analyses, and statements. + Ensures that facility standard procedures are followed in connection with purchases of pharmaceuticals, materials, and services. + Maintains established policies and procedures, objectives, quality assessment and safety standards. + Enhances professional growth and development through participation in educational programs, current literature, in-service meetings, and workshops. + Provides outstanding service to all customers; fosters teamwork; and practices fiscal responsibility through improvement and innovation. + Maintains files and records of current and potential suppliers, materials, prices, delivery dates and inventories. + Maintains purchase order and invoice files and related purchasing records. **Qualifications** **Minimum Education:** + High School Diploma or GED Required **Work Experience:** + 2 years Relevant experience.
