Personal Assistant to the VP Finance, Refining & Biofuels

Together we continue to grow as the world’s leading energy company! **About the role** This role will provide business and administrative support to the VP Finance, Refining & Biofuels, including ad hoc support to the Refining & Biofuels Finance Leadership team **Key Responsibilities** + Calendar management – provide full calendar management, including prioritizing incoming requests, planning, organizing, and coordinating appointments, proactively highlighting areas of conflict and finding solutions to resolve. Arrange teleconferences, video conferences and live meetings involving numerous participants across various departments, locations, time zones and geographies. Flag deadlines and actions and anticipate pre-reads. + Travel – organize all aspects of travel for the VP Finance, Refining & Biofuels including but not limited to booking flights, arranging hotels, ground transportation staying within compliance and in conformance with bp travel policy. Support travel arrangements where required. Produce complete travel itinerary. If necessary, liaise with overseas bp offices to provide in-country approvals and other relevant information for travelers. Obtain the correct travel documents and visas and ensure continuous renewal. Stay current with all elements of the Travel Safe website and communicate relevant advice to the travelers you support. + Expenses – prepare and submit expense reports on behalf of the VP Finance, on time, and in conformance with bp policy. Ensure proper use of p-card in conformance with policy. Logging any Gifts and Entertainment requirements into registry. + Communications – coordinate communications, including email communications, project events, collating or writing material for leadership and wider team. Maintain strict confidentiality and discretion when handling sensitive information. + Meetings and events – organize meetings, ensuring that the practical arrangements are in place, that meetings run smoothly and efficiently and that any necessary preparation materials are received on time. This will include townhalls, conferences and off-site meetings. Proficient understanding of how the meeting room audio and visual equipment works to provide first-response troubleshooting. Expedite A/V support for more complex issues. + Document preparation - Appropriate preparation and presentation of materials and documents, e.g., agenda and accompanying documents for leadership meetings. Including photocopying, printing, plotting, collating binders, mailing, shipping, etc. Ensure timely leader approval signatures of key documents. + Joiner/Leaver/Host support for visitors – Ensure proper onboarding of new joiners to the team, assisting with their GTKYs, and bp joining instructions. Support leader in ensuring leaver checklist actions. Support visitors to ensure smooth entry to office and refinery locations. + Maintain a professional and safe office environment. Proactive in meeting office HSSE standards. + General administrative support – Act as a point of contact for the Refining & Biofuels Finance Leadership on a day-to-day basis, often in the absence of supervision. Able to prioritize activities and incoming materials and to action/refer as appropriate. Discreetly manage confidential information. Support and understand the structure of distribution lists and work with Digital to maintain this information to ensure accuracy. Manage and keep team inventory secure. Proactively raise replenishment requests when needed: Company and Unit branded merchandise, HSE PPE, office supplies. Other requested duties as required. **Essential Experience** + Proven track record of supporting senior leadership with global teams + High standard of administrative and analytical skills, including organization, prioritizing, and forward planning + Strong attention to detail + Ability to deal comfortably and professionally with internal and external contacts at all levels + Excellent professional communication, strong interpersonal and networking skills across multiple teams, locations, and cultures + Adept at simultaneously handling multiple projects and carrying out assigned projects to completion with minimal supervision of day-to-day activities + Able to rapidly learn and assess VP Finance priorities and seek to focus their time on the activities where they can unlock the most value + Able to manage conflicting priorities and handle unexpected surprises through good judgment and will take initiative to act and resolve unexpected problems + Ensure impactful events through excellent planning and coordination skills for meetings both on and off-site. Meetings may frequently involve high-level and complex calendaring of multiple individuals. + Work to anticipate the materials needed for meetings (including functioning technology) + Strong influencing skills which have proven effective in a large, complex organization and international work environment + Ability to handle sensitive information and maintain confidentiality + Strong application of all MS Office programs – Outlook, Word, PowerPoint, Excel, SharePoint, Teams, Edge + Interact with other administrative assistants, sharing best practices and providing holiday/leave coverage, as necessary. **Desirable Experience & Skills** + Knows group well enough to support townhall and workshop agenda development + Review action trackers and send reminders about deadlines + Extracting reports, creating presentations, and proofreading documents **Why join bp** At BP, we support our people to learn and grow in a diverse and challenging environment. ($77,000 - $104,000) *Note that the pay range listed for this position is a genuinely expected and reasonable estimate of the range of possible base compensation at the time of posting. This position is eligible for US Benefits – Core. This position offers paid vacation depending on your years of relevant industry experience and will range from 120 – 240 hours of vacation per year for full time employees (60 - 240 hours of vacation per year for part time employees). You will also be eligible for 9 paid holidays per year and 2 personal choice holidays.
