Role Description

The successful candidate will provide a high level of administrative support to the promoters in the Theatre Touring department. Discretion, excellent communication and great people skills are vital to the success of this role. The Personal Assistant will be responsible for diary management, scheduling, inbox management, expenses, correspondence, will oversee the preparation for meetings, travel logistics and general administration.

Effectively communicating and interfacing with people at all levels inside and outside the company and within the entertainment industry. Experience of working in an international business dealing with multiple countries and cultures and knowledge of the music industry would be a plus.

Demonstrable experience in an PA role supporting at Director level within a fast-paced environmentAbility to work effectively under pressure and to tight deadlinesExcellent attention to detailExtremely well organised and self-motivatedExcellent command of written English with copy accuracyExcellent IT skills with proven experience with Microsoft Office, especially Word, Excel, and PowerPoint (experience with Concur would be advantageous)Professional and friendly telephone mannerKnowledge of live entertainment industry and event management experience would be advantageous

What the role includes

Provide extensive diary management for the Promoters - including arranging internal and external meetings, events, and conference calls and ensuring attendance of promoters on timeOverseeing daily tasks relating to the promoter’s travel, diary, and various administration tasksInbox management, with an understanding of the promoters’ priorities and practising a high level of discretionProcessing of expenses for the promoters and own company card on a timely basis.Screen calls/incoming mail – be an effective gatekeeper; take messages efficiently and accurately; receive visitorsTaking and circulating meeting minutesBooking and management of travel, accommodation, and other tickets for PromotersCarry out any research and prepare findings in a comprehensive and concise formatMain point of contact for the Director’s guests; handling guests ticketing and accreditation requestsGeneral office duties and remote assistance with Zoom meetingsLiaise with heads of department across Cuffe and Taylor and Live Nation and high-profile external stakeholdersAdditional duties as required by business needs and objectivesOn occasion you will be required to attend shows in evenings and on weekends
