The primary role of the People Experience Operations specialist is to serve as a key link between employees and the People team. This role requires a strong sense of urgency, customer focus, anticipation of needs, and a commitment to continuous improvement. As part of our People Experience Team, the specialist ensures that employees, managers, and leaders receive exceptional personal service, helping them quickly find information, navigate processes and systems, and connect with the correct people team efficiently, empathetically, and accountably.
Key deliverables include maintaining accurate employee information and data points, payroll management, benefits transactions, People policies and procedures, and document control for defined operations processes to ensure compliance with policy, quality, and statutory requirements. Participate in proactive outreach to new employees to curate a memorable new hire experience.Facilitate new hire orientation and act as the face of the People Experience team.Streamline operations, reduce manual tasks, and improve overall team productivity by identifying opportunities for automation and simplification. Work with team to design tailored solutions like implementing automation solutions using tools like Microsoft Power Automate and Copilot StudioServe as a power user and innovation partner to drive the adoption of automation tools within the PXO teamExplore opportunities for continuous improvement and global optimization/scalability, serving as an escalation point for shared services support as neededCoordinate and execute office-based experiences and events that enhance culture and morale, such as Holiday Celebrations, Employee appreciation initiatives, Quarterly engagement activities and culture-building moments tied to global campaigns or regional feedback while owing logistics, communication, supplies, and vendor coordination for local events.Coordinate annual workforce diversity reporting aligned to Australian compliance requirements, including WGEA (Workplace Gender Equality Agency) submissions.Prepare and review workforce composition reports to support our internal DEI goals and external compliance obligations.Support and/or lead local implementation of benefits-related programs like on-site vaccinations, health screenings and wellness days and annual open enrollment supportEnsure all people-related queries and requests are responded to in a timely manner through tiered support, leveraging technology platforms, and focusing on high-quality documentation and data integrity in core HCM systems to enhance customer experience.Respond to employee requests (e.g., document requests, employment form completion, onboarding/offboarding assistance), maintain and validate core HCM data, and liaise with COE functions to support benefits administration, payroll, or other HR functions as assigned.Maintain records related to People function activities, policy changes or additions, and ER support document control for defined operations processes to ensure compliance with policy, quality, and statutory requirements.Monitor and answer frequently asked questions in our case management system.Help employees navigate our knowledgebase of policies, procedures, and articles.Research and provide timely follow-up and engagement when answers are delayed, not obvious, or routine.Intake critical employee information to help solve issues, triage, or provide warm handoffs to our people advisory team and centers of expertise.Assist with HR administrative work such as entering employee changes in the HR System (Workday), completing paperwork that requires employee information, and sending templated employee notifications.Run and provide people reports as requested.Let's talk about you:
Required:
Minimum of 1 year of related experience.Degree in Human Resources or related field considered an asset.Workday system experience is a must.Strong communicator who takes ownership and initiative, is a relentless improver with customer empathy, and is results-oriented.Strong desire to provide an exceptional, personalized customer experience.Excellent written and verbal communication skills.Logical thinker who can assess a situation and provide the right balance of empathy, urgency, and diagnostic of next steps.Growth mindset and passion for learning and continuous improvement.High level of personal integrity and confidentiality.Preferred:
