Payroll Specialist - Tax and AccountingPosition Overview
The Payroll Tax & Accounting Specialist ensures compliance with federal, state, and local payroll tax regulations for 18,000 associates across all 50 states. This role plays a critical part in maintaining accurate payroll tax reporting, supporting audits and reconciliations, and driving system and process improvements. The specialist works closely with payroll operations, tax agencies, and vendors to ensure timely and compliant payroll tax practices.
Key Responsibilities:
Payroll Tax Compliance & Reporting
Develop and maintain comprehensive reports and processes to ensure compliance with company policies and federal, state, and local regulations.
Ensure accurate and timely filing of payroll taxes across all jurisdictions.
Reconcile payroll tax accounts and resolve discrepancies.
Maintain compliance with multi-state tax regulations, including unemployment and withholding taxes.
Monitor tax law changes and implement necessary updates in payroll systems.
Collaborate with external tax agencies and vendors to resolve tax-related issues.
Payroll Audit & Reconciliation
Conduct regular audits to identify and correct payroll discrepancies.
Ensure payroll processes align with company policies and regulatory requirements.
Assist with internal and external payroll audits, including documentation preparation.
Reconcile payroll registers, tax filings, and general ledger accounts.
Support year-end payroll tax processes, including W-2 and 1099 reporting.
System & Process Optimization
Identify opportunities for process improvements to enhance accuracy and efficiency.
Assist in system implementations and upgrades related to payroll tax functions.
Develop and maintain payroll tax Standard Operating Procedures (SOPs).
Provide recommendations for automation and technological enhancements.
Qualifications:
Required:
Minimum 3-years' experience in payroll or payroll tax
Proficiency in Microsoft Excel (e.g., pivot tables, VLOOKUP).
Experience with payroll systems (e.g., Workday, ADP, or similar platforms).
Excellent written and verbal communication skills.
Discretion and professionalism in handling confidential data.
Excellent analytical, problem-solving, and organizational skills.
Ability to manage multiple priorities in a fast-paced environment.
Preferred:
Bachelor's degree in accounting, finance, or related field
FPC or CPP certification.
Experience with multi-state payroll operations and payroll taxes.
Knowledge of federal, state, and local payroll tax regulations.

Special Requirements:
Willing to work all Mondays including holidays. Willing to work weekends and evenings as needed. Incumbents must be able to work under time constraints to ensure deadlines are met. Must be able to prioritize, take initiative, and manage multiple tasks simultaneously.
