The Payroll Specialist is responsible for ensuring the accurate and timely processing, printing, and distribution of payroll checks across all divisions. The role involves completing and filing all required payroll tax reports and performing accounting procedures related to payroll, in accordance with company policies and procedures. The department consists of three employees who execute weekly payroll operations.
Responsibilities
+ Verify all payroll changes from various locations and enter them into the master file in the computerized system.
+ Write up and enter any payroll adjustments such as garnishments, deductions, wage assignments, vacation checks, bonus checks, and advances into the computerized system.
+ Process all timecards, check for accuracy, and prepare for entry into the computerized system.
+ Enter all payroll data into the computerized system.
+ Utilize all software systems, including but not limited to Paycom and contract systems.
+ Print checks and generate all associated payroll reports.
+ Ensure the completion and maintenance of all required records, filings, and reports related to payroll.
+ Ensure timely filing of all required government forms and reports.
+ Prepare and post all weekly information such as holidays and vacations.
+ Complete all monthly, quarterly, and yearly reports and filings.
+ Ensure status changes and audits of time records are accurate and resolve any discrepancies.
+ Respond to payroll questions and concerns of employees, researching records and involving other resources/staff as needed.
+ Stay updated with HR payroll policies and public policy changes affecting payroll rules and guidelines.
+ Coordinate with the HR Manager regarding payroll-related administration requirements and individual employee payroll needs.
+ Prepare and send out all union dues and update rates according to the contract.
+ Learn and master the in-house timecard system and train employees on its use.
+ Understand the 1099 process, as the position requires working with contractors during the snow removal season.
Essential Skills
+ 2-4 years of payroll experience
+ Bilingual English/Spanish
+ Proficiency in payroll systems
+ Strong knowledge of payroll tax and compliance
+ Experience in employee-facing payroll support

+ HR-related experience beyond payroll
+ Union payroll experience
+ 1099/Contractor payroll experience
+ Exposure to accounting or payroll reporting

Work Environment
This position is 100% onsite and involves working alongside two other payroll specialists. Payroll is run weekly, and the work schedule is Monday through Friday, from 8 AM to 5 PM. The company offers a supportive team environment with opportunities for growth and advancement. This is a Contract to Hire position based out of Bartlett, IL.
Pay and Benefits
The pay range for this position is $21.00 - $22.00/hr.
