Payroll Specialist for Well Established Firm

Job Description

Review employee timesheets to verify accuracy and ensure all hours worked are properly documented and accounted for.Enter payroll data into databases and spreadsheets with a high degree of accuracy, including employee information, hours worked, and compensation details.Manage employee direct deposit requests, update banking information, and ensure deposits are processed accurately and on time.Process paper checks for distribution, ensuring all required documentation and signatures are obtained before disbursement.Calculate and process payroll adjustments for raises, bonuses, commissions, and other changes to employee compensation, ensuring all calculations are correct.Process and track wage garnishments in accordance with legal requirements and ensure timely and accurate deductions.Maintain accurate and up-to-date records of all payroll transactions, including tax withholdings, garnishments, and employee benefits, in compliance with company policies and regulations.Prepare and generate payroll reports for internal departments and leadership, supporting accounting, financial audits, and compliance reviews.Respond to and resolve employee payroll inquiries regarding pay, deductions, and discrepancies, providing professional, empathetic, and solution-focused customer service.Safeguard the confidentiality of employee payroll information and ensure adherence to all relevant payroll policies, procedures, and regulations.Support payroll-related project work, including process improvements and system enhancements, particularly for U.S. and Canadian payroll operations.Collaborate effectively with team members and other departments to ensure smooth end-to-end payroll processing and issue resolution.

Essential Skills

Proven experience in end-to-end payroll processing, with strong knowledge of payroll systems and software.Hands-on experience with U.S. and Canada payroll processing and related tax compliance.Strong understanding of wage garnishments, tax deductions, and payroll-related regulations.Knowledge of federal, state, and local payroll tax laws and compliance requirements.Proficiency in Microsoft Excel, including functions such as VLOOKUP and pivot tables, and strong overall Microsoft Office skills.Ability to work with a high degree of accuracy under tight deadlines and manage multiple tasks simultaneously.Demonstrated ability to handle confidential information with professionalism, discretion, and integrity.Excellent organizational and time management skills to manage recurring payroll cycles and ad hoc tasks.Strong verbal and written communication skills, with the ability to interact professionally with employees and internal stakeholders.Customer service mindset with the ability to handle compensation issues and errors with empathy and professionalism.

Additional Skills & Qualifications

Associate's or Bachelor's degree in Accounting, Business Administration, or a related field preferred.Experience with Oracle or similar enterprise systems for payroll or HR is a plus.Experience with Ceridian or similar payroll platforms is an advantage.Familiarity with internal HR or payroll ticketing systems (such as AskHR or comparable tools) is helpful but not required.Background in customer service or employee support roles is beneficial, particularly when resolving pay-related issues.Experience supporting payroll-related projects, process improvements, or system implementations is a plus.

Work Environment

The payroll team operates as a small, highly effective group of four professionals who collaborate closely to deliver accurate and timely payroll services. Typical start times are between 7:00 a.m. and 8:30 a.m., with some flexibility depending on business needs and prior approval. Initial training occurs fully on-site for approximately one to two weeks to ensure thorough onboarding and knowledge transfer. After training, the role follows a hybrid schedule, generally requiring three days per week in the office, with flexibility in which days are on-site, provided at least one team member is present in the office each day. Pay and Benefits

The pay range for this position is $23.00 - $25.00/hr.
