Payroll Specialist
Job Title: Payroll SpecialistJob Description The HR and Payroll Specialist is responsible for the bi-weekly payroll and supports various human resource functions, including Payroll, Recruiting, HRIS, and Benefits Administration. This role ensures the accurate and timely processing of payroll using ADP, in compliance with Oregon tax and labor regulations, while also assisting with recruiting, benefits administration, and maintaining accurate employment data. Responsibilities + Process bi-weekly payroll for 100+ employees using ADP, ensuring timely and accurate payment of wages, bonuses, final checks, and time off. + Maintain compliance with Oregon tax and labor regulations. + Reconcile each payroll and coordinate with accounting. + Stay updated on payroll and tax changes affecting employees and the business. + Address and correct payroll discrepancies promptly. + Assist with recruiting tasks including posting job openings, scheduling interviews, and preparing offer letters. + Order criminal background checks and pre-employment drug screens and clear new candidates for hire. + Assist with benefits administration, ensuring accurate benefit enrollments and communication with COBRA providers. + Reconcile monthly benefit bills and assist employees with benefit questions during orientations and open enrollments. + Maintain accurate employment data in the HRIS system and conduct new employee orientations. + Create reports for other departments, including PTO balances, ERP hours, overtime, and safety compliance. + Support internal and external audits by gathering documentation. + Assist with the company employee assessment program and schedule 90-day new employee reviews. + Create and maintain employee and payroll files, including I-9 storage. + Ensure distribution of W-2s and 1095s at the end of the year. + Reconcile the 401k plan monthly. + Assist with compiling information and writing the monthly company newsletter. + Perform other duties as assigned. Essential Skills + Two or more years of experience processing payroll with ADP or a similar system. + Proficiency in payroll processing and general HR experience, including onboarding, benefits, and recruiting. + Strong MS Office skills, particularly in Excel with vlookups and pivot tables. + Knowledge of Oregon Wage and Hour regulations, including overtime, deductions, and final checks. + Excellent written and verbal communication skills. + Strong attention to detail. Additional Skills & Qualifications + Associate's degree in Business, Human Resources, or an equivalent combination of education and experience. + One or more years of experience in Human Resources. Work Environment The position is based in a graphite and carbon manufacturing facility. The work schedule is Monday to Friday, 7:30 AM to 4:30 PM. The role requires onsite presence. The company offers a comprehensive benefits package including medical, dental, and vision coverage, 401k with matching, and tuition reimbursement after 90 days. Employees are eligible for quarterly bonuses, three weeks of vacation per year, and nine holidays annually. Job Type & Location This is a Contract to Hire position based out of Troutdale, Oregon. Pay and Benefits The pay range for this position is $26.00 - $27.00/hr. Eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
