The Payroll Specialist performs a variety of mid-level payroll functions and special projects across all business areas. This role requires discretion in handling routine and non-routine matters and provides customer service to employees, including management, with payroll inquiries. The position is responsible for developing scalable processes, overseeing the payroll systems environment, and ensuring timely and accurate payroll submission and reporting.
Responsibilities
+ Manage and oversee the payroll process for U.S. associates, ensuring compliance with federal, state, and local regulations.
+ Manage and oversee payroll processes for Canadian associates, ensuring compliance with relevant regulations.
+ Lead in processing complex transactions such as multi-state adjustments, bonus taxation, and year-end tax reconciliations.
+ Ensure timely handling of recurring assignments while contributing to special cross-functional projects.
+ Prepare and distribute reports, statements, and summaries of payroll activities.
+ Address associate inquiries regarding payroll matters.
+ Collaborate with tax and people operations teams on global mobility and business activities.
+ Manage internal and external payroll audits to guarantee data integrity.
+ Oversee system implementations, integrations, acquisitions, and other payroll projects.
+ Assist in maintaining timekeeping records and resolving discrepancies with the Bullhorn system.
+ Assist in maintaining standard operating procedures and payroll reconciliations.
+ Serve as a payroll subject matter expert and resource to other personnel.
Essential Skills
+ Experience managing payroll for exempt and non-exempt workforce.
+ Experience managing time clock systems.
+ Multi-state payroll experience for U.S. and Canada.
+ 2+ years of ADP Workforce Now experience required.
+ Expert knowledge of federal and state tax withholding requirements, garnishment procedures, wage and hour laws, FLSA, Social Security, and Medicare withholding.
+ Sound understanding of payroll accounting requirements and their relation to the General Ledger.
+ Proficiency in Microsoft Excel, including pivot tables and vlookups.
Additional Skills & Qualifications
+ MySource HRIS experience preferred.
+ Experience with Bullhorn timekeeping system or similar.
+ Attention to detail and ability to meet deadlines.
+ Higher education.
+ Certifications such as Fundamental Payroll Certification (FPC).
Work Environment
The team size includes three members: payroll manager, Sr. Payroll Rep, and this role. The position is hybrid, requiring three days onsite and two days remote, typically Tuesday, Wednesday, and Thursday onsite, with some flexibility in days and hours. The ideal candidate is a self-starter with strong communication skills and the ability to research and find answers independently.
Pay and Benefits
The pay range for this position is $62000.00 - $68000.00/yr.
