This role requires a dedicated individual to manage end-to-end weekly payroll and provide vital administrative support. The successful candidate will handle payroll processing and compliance tasks, alongside office management duties, ensuring efficiency and accuracy in all operations.
ResponsibilitiesManage end-to-end weekly payroll, including timecard validation, batch posting, and check printing.Utilize Viewpoint Vista and HCSS HeavyJob for payroll and equipment entry.Prepare Certified Payroll Reports and ensure compliance with prevailing wage laws (DBRA, union, state-specific for Nevada, California, Hawaii).Track and report fringe benefits, deductions, and union contributions.Process weekly tax payments, garnishments, and payroll-related documentation.Perform front desk duties, including answering phones, filing, and managing new hire paperwork.Maintain office supplies and support document preparation.Assist executives with clerical tasks and coordinate cross-departmental training.Run local errands, such as visiting the post office or bank, using a company vehicle.Essential Skills2+ years of payroll processing experience; construction industry preferred.Proficiency in Excel, including pivot tables and data analysis.Experience with Viewpoint Vista and HCSS HeavyJob is a plus.Knowledge of certified payroll, prevailing wage laws, and union compliance.Strong attention to detail and ability to meet tight weekly deadlines.Excellent communication and organizational skills.Additional Skills & QualificationsSelf-starter capable of owning the role with minimal guidance.Experience with DIR and LCP Tracker (trainable platforms).Experience with job-specific rate sets and handling multi-state projects.Work EnvironmentThis position is situated in an office setting within the construction industry. The accounting team consists of three people, including a Controller, a Payroll Supervisor, and an AR Representative, with this role becoming the fourth position in accounting. The company values flexibility and accountability, offering excellent health, medical, and dental coverage, along with 2-3 weeks of vacation once converted. There is flexibility in working hours between Tuesday and Thursday, while Monday and Friday are deadline-driven. Candidates should be comfortable commuting to the office located towards Mustang in Sparks and be open to feedback in a dynamic environment.
Pay and BenefitsThe pay range for this position is $28.00 - $32.00/hr.
