Job Description
The Payroll Administrator is responsible for managing the organization’s payroll functions and processing. This role involves developing and maintaining standard operating procedures for the complete payroll process, ensuring efficient and accurate payroll operations.
ResponsibilitiesDevelop and maintain standard operating procedures for payroll processing.Collaborate with various teams to ensure timely electronic reporting of weekly hours worked and time off.Support staff with user account and time entry issues, and assist leaders with review and approvals to ensure record accuracy before payroll submission.Maintain payroll records and submit accurate federal and state deposit reports, ACH transactions, quarterly and annual payroll reports, and W2s.Work with Human Resources to ensure timely and accurate processing of all leaves, including FMLA, STD, non-FMLA leave of absences, PTO, and worker’s compensation.Oversee involuntary deductions such as garnishments and levies to ensure proper payroll deductions.Perform data transfers between systems, conduct balance inquiries and accuracy checks, and process trial payroll runs for verification.Serve as the primary point of contact for payroll system configurations in collaboration with the HRIS administrator.Verify proper system setup of annual holiday and payroll calendars, benefits, and organizational changes for accurate payroll processing and reporting.Assist with system maintenance or changes in HRIS, working with the HRIS administrator.Produce accurate labor distribution, grant-required, productivity, and other requested reports.Produce payroll-related journal entries and reconcile payroll general ledger accounts.Assist with the organization’s annual 401k audit.Perform other accounting functions or Human Resources projects as directed and support cross-training initiatives within the accounting team.Essential SkillsBachelor’s degree in Finance, Accounting, Human Resources, or a related field.Minimum of 5 years of payroll processing experience.Strong knowledge of payroll reporting and compliance procedures.Proficiency with automated payroll processing services.Additional Skills & QualificationsExperience in Human Resources is preferred.Proficiency in using Kronos and payroll accounting software.Excellent data entry skills.Work Environment
The work environment is flexible with respect to scheduling. Initially, during training, the individual is required to be onsite 5 days a week. Once trained, there is an option for a hybrid schedule. Monday and Tuesday are the busiest days, with potential for 10-12 hour days. The rest of the week follows a normal 8-hour schedule, with the possibility of taking Friday off if preferred. After training, work on Monday and Tuesday outside of normal hours can be done remotely.
Pay and Benefits
The pay range for this position is $31.25 - $34.62/hr.
