Job Summary
What You’ll DoAs the first point of contact for patients and families, you’ll play a vital role in ensuring a smooth and compassionate experience. Your responsibilities will include:
Patient Scheduling & Coordination
-Schedule appointments, surgeries, and diagnostic tests
-Coordinate referrals, pre-certifications, and imaging
-Manage cancellations, confirmations, and follow-up communications
Reception & Communication
-Greet and check in/out patients with warmth and professionalism
-Answer incoming calls, triage inquiries, and relay messages to clinical staff
-Provide clear and accurate information about appointments and procedures
Administrative Support
-Prepare consultation letters, notes, and correspondence
-Maintain and update patient records in Epic
-Scan and upload documentation, manage in-basket messages, and support data workflows
Team Collaboration
-Work closely with physicians, nurse practitioners, and administrative leaders
-Coordinate with interpreters, financial counselors, and registration teams
-Support clinic operations and contribute to process improvements
Physician Support (as needed)
-Assist with calendar management, travel arrangements, and credentialing
-Prepare reports, CVs, and presentation materials
-Provide cross-coverage and help onboard new staff

Qualifications
QUALIFICATIONS:
- High School Diploma or GED required. Associate’s Degree in Secretarial Science/Business, or a Secretarial Training Certificate Program desirable
- Minimum of 1 - 3 years secretarial experience in a medical or health care related setting required.
SKILLS/ ABILITIES/ COMPETENCIES REQUIRED:
- Excellent interpersonal skills and flexibility.
- Excellent communication skills, both oral and written.
- Understanding of and ability to use medical terminology.
- Computer software and word processing skills, including: MS Office Suite (Outlook, Word, Excel), ability to learn Epic, MOSAIC and OR Scheduling.
- Requires an ability to work effectively with physicians, advance practice providers and other clinical and support staff.
- Ability to focus detailed concentrated effort to multiple projects and re-establish priorities as necessary.
- Ability to effectively respond to time-sensitive and confidential issues.
- Initiative and ability to work both independently and as a member of a functional team.
- Ability to collect and interpret data from patient records.
- Demonstrated knowledge of HIPAA Confidentiality and Privacy Policies.
- Demonstrated understanding of MGH Disaster protocols to include: fire, safety and code calls, per the mandatory training, as outlined by MGH and JCAHO guidelines.
