The Parts Specialist is responsible for accurately processing customer parts orders, quotations, status requests, returns, and other miscellaneous inquiries via email, phone, and SAP. This role focuses on delivering exceptional customer satisfaction through timely responses, meticulous attention to detail, and ensuring the accurate and on-time delivery of spare parts. The position also supports cross-functional collaboration to improve processes, reduce cycle times, and enhance overall service quality.
Responsibilities
+ Process customer parts orders, quotations, order status requests, returns, and other miscellaneous requests accurately and efficiently via email, phone, and SAP.
+ Provide timely and professional responses to customer inquiries to ensure a high level of customer satisfaction.
+ Investigate issues related to orders and shipments, identify root causes, and develop effective resolutions.
+ Collaborate with other departments to develop cost-effective methods that reduce cycle times and improve overall service to customers.
+ Assist with follow-up on past due payments and support collection activities when required.
+ Use current data collection processes to gather information and support root cause analysis for order or shipment issues.
+ Coordinate final inspections related to parts and assemblies, and analyze assembly problems to determine appropriate courses of action.
+ Apply an understanding of design concepts and theories of operation for various product lines, including variables introduced by product variations, collation, and transfer systems.
+ Maintain organized records of orders, communications, and follow-ups to ensure accurate tracking and timely closure of customer requests.
+ Prioritize daily tasks effectively to manage multiple customer requests and internal responsibilities.
+ Support continuous improvement initiatives by identifying opportunities to streamline parts order processing and customer support workflows.
Essential Skills
+ Proficiency in Microsoft Office Suite (MS Suite is non-negotiable).
+ Experience with SAP or similar ERP systems for order entry and parts management.
+ Strong data entry skills with high accuracy and attention to detail.
+ Experience in parts inventory, fulfillment, and order entry processes.
+ Customer support experience with a focus on responsiveness and service quality.
+ Excellent oral and written communication skills, including exceptional phone etiquette.
+ Demonstrated problem-solving skills and the ability to investigate and resolve order and shipment issues.
+ Strong organizational skills with the ability to prioritize tasks and follow up quickly.
+ Ability to bring projects and customer requests to closure in a timely manner.
+ Three years of previous experience in a related field preferred.
Additional Skills & Qualifications
+ Associate degree preferred.
+ Background in manufacturing is highly valued; retail sales experience is also considered.
+ Exposure to SolidWorks, EPDM, AutoCAD (ACAD), SAP, IES, and Microsoft Office is preferred.
+ Experience with Lean or Continuous Improvement methodologies is preferred.
+ Familiarity with parts inventory management and fulfillment processes.
+ Ability to understand design concepts and theories of operation for various product lines.
+ Comfort working cross-functionally with production, engineering, and other internal teams.
Work Environment
This is a full-time, on-site position in a facility with approximately 140 employees, including about 80 office-based team members and 60 employees on the production floor. The standard schedule is Monday through Friday, 7:30 a.m. to 4:30 p.m., with some flexibility. The role primarily operates in an office environment using Microsoft Office Suite, SAP, and other business software tools, while also interacting regularly with production and engineering teams. The organization promotes a strong, collaborative culture with long employee tenure, and team members typically stay for 10 or more years. The position is expected to be in-office five days per week, with potential for a hybrid arrangement once performance and reliability are well established.

Pay and Benefits
The pay range for this position is $28.00 - $28.00/hr.
