Parts & Service Operations Coordinator

Location: Mesquite, TX

 

We are seeking a driven, detail-focused Parts & Service Operations Coordinator to oversee the flow of parts, inventory, and service documentation that keeps our diesel maintenance operations running at peak efficiency. This role is the operational backbone of the shop—ensuring the right parts are in stock, work orders are accurate, and processes are streamlined from order to completion.

 

What will you do?

Oversee end-to-end parts inventory management, including tracking usage, reconciling counts, and ensuring stock accuracy. Source, order, and expedite parts, tools, and supplies from approved vendors, balancing cost control with operational needs. Coordinate with mechanics and shop supervisors to forecast part requirements for scheduled and unscheduled repairs. Maintain an organized, compliant, and safety-focused parts storage environment. Oversee receiving process—verify shipments, match against purchase orders, and process discrepancies or returns. Manage warranty claims, vendor credits, and repair-related service documentation. Administer work orders, repair tickets, and invoices; ensure records are complete, accurate, and accessible. Maintain and update inventory management and maintenance tracking systems with correct data. Produce regular reports for management on parts usage, service costs, vendor performance, and process efficiency. Support continuous improvement initiatives by identifying process gaps and implementing solutions.

 What do you need?

High school diploma or equivalent required; additional technical or business training preferred. 2+ years in fleet maintenance, diesel shop operations, or a related inventory/service coordination role. Knowledge of diesel parts, fleet maintenance practices, and service documentation. Proficiency in Microsoft Office Suite and experience with inventory management or maintenance software. Strong organizational skills with high attention to accuracy and deadlines. Ability to manage multiple priorities in a fast-paced environment. Effective communicator across mechanics, vendors, and leadership teams.
