Job Title: Parts Coordinator
Job Description

The Parts Coordinator manages the full lifecycle of parts ordering, receiving, and inventory control within the organization’s MSP and ERP environments. This role coordinates between service management and enterprise resource planning systems, ensures accurate data flow, and supports break/fix operations by processing orders, resolving inventory and database issues, and generating reports for internal stakeholders and customers.

ResponsibilitiesCoordinate parts-related activities between the MSP platform and the ERP system to ensure accurate and timely data synchronization.Manage the MSP service board (ConnectWise) to track parts requests, service tickets, and related actions.Oversee ordering and receiving of parts within the ERP system (JDE), ensuring that all transactions are processed accurately and on time.Perform parts changes in the ERP system when vendors substitute or swap parts, maintaining up-to-date records.Serve as the primary parts ordering point of contact, ensuring that all parts needs are identified, sourced, and fulfilled efficiently.Research vendor inventories and pricing to identify appropriate parts and cost-effective options.Provide parts quotes for sales representatives and technicians to support customer proposals and service activities.Act as a liaison between the organization and part vendors, maintaining clear communication and strong working relationships.Update internal databases and software with current parts, pricing, and inventory information to maintain data accuracy.Generate and publish various reports for the break/fix supervisor and other stakeholders, covering parts usage, inventory, and service metrics.Serve the break/fix supervisor by producing reports for all customers and supporting ongoing service operations.Input data from the break/fix team and convert that information into accurate orders within JDE and ConnectWise.Troubleshoot inventory and ERP errors, working to identify root causes and correct data or process issues.Escalate and collaborate with other team members when ERP or database issues cannot be resolved independently.Troubleshoot database issues related to parts, inventory, or orders to maintain system integrity.Provide administrative support related to inventory, customer service, and data entry tasks as needed.Coordinate effectively with remote users to manage parts requests, updates, and issue resolution.Adapt to changing customer demands and operational scenarios to ensure timely and accurate parts support.Essential SkillsProven experience working with inventory processes and parts coordination.Strong customer service orientation with the ability to support internal and external stakeholders.Demonstrated administrative support and data entry skills with a high level of accuracy.Experience working with MSP environments, including managing service boards such as ConnectWise.Familiarity with ERP systems, preferably JDE, for ordering, receiving, and managing parts.Ability to research vendor inventories and pricing to identify appropriate parts and competitive options.Ability to provide accurate and timely quotes for sales representatives and technicians.Experience updating internal databases and software with parts and inventory information.Ability to generate and publish reports related to inventory, parts usage, and service operations.Highly organized with strong attention to detail and the ability to manage multiple tasks simultaneously.Strong team player who collaborates effectively with colleagues and other departments.Flexible communicator who can convey information clearly to technical and non-technical audiences.Systemic thinker who understands how parts, systems, and processes interact within the organization.Ability to multitask and prioritize work in a fast-paced environment.Ability to coordinate effectively with remote users and teams.Ability to adapt quickly to changing scenarios and customer demands.Proficiency with MS Office applications, including Outlook, Excel, and Word.High school education with at least two years of college or equivalent workplace experience.Additional Skills & QualificationsExperience working with ConnectWise or similar MSP service management tools.Experience working with JDE or comparable ERP systems for parts and inventory management.Previous experience in a parts coordinator, inventory specialist, or similar role.Strong problem-solving skills for troubleshooting ERP, database, and inventory issues.Comfort working with data-driven processes, including report generation and analysis.Ability to build and maintain productive relationships with vendors and internal stakeholders.Work Environment

This role is 100% onsite at a facility near the airport in Brookpark, OH. The standard work schedule runs from 7:30 a.m. to 4:00 p.m., providing a consistent daytime shift. The environment is office-based and technology-driven, with regular use of MSP tools such as ConnectWise, ERP systems such as JDE, and productivity applications including Outlook, Excel, and Word. The position involves frequent interaction with internal teams, remote users, and external vendors, as well as ongoing work with inventory, databases, and reporting tools in a structured, process-oriented setting.

This is a Contract to Hire position based out of Brookpark, OH.

Pay and Benefits

The pay range for this position is $21.50 - $21.50/hr.
