The Parts Coordinator processes internal and external parts orders, generates purchase orders, and supports the field service team by ensuring timely and accurate parts fulfillment. This role manages inventory records, expedites critical parts, coordinates vendor returns and credits, and assists with physical inventory counts. The position also supports warehouse operations, including shipping, receiving, and occasional parts delivery or pickup. The ideal candidate is highly organized, customer-focused, and comfortable working across office, warehouse, shop, and field environments.
Responsibilities
+ Process emergency and routine parts orders for the technical service field team.
+ Process internal and external customer parts quotes and orders in a timely and accurate manner.
+ Create purchase orders based on parts requirements and submit them to appropriate vendors.
+ Recommend suitable parts and solutions to external customers based on their needs.
+ Perform warehouse functions such as shipping and receiving, including validating orders to ensure delivery accuracy.
+ Deliver and pick up parts from vendors and customers as needed, using company-provided vehicles during work hours.
+ Maintain accurate and up-to-date inventory records across all assigned locations.
+ Expedite critical parts when necessary to support field service and customer requirements.
+ Process vendor return authorizations for damaged, defective, or poor-quality products.
+ Make inventory corrections, adjustments, and price changes in the system as needed.
+ Maintain and track all core returns to vendors to ensure timely credits are received.
+ Assist in bi-annual physical inventory counts for parts and related materials.
+ Communicate and follow up with vendors and customers regarding order status, updates, and issue resolution.
+ Perform basic calculations related to discounts, interest, commissions, proportions, and percentages to support pricing and order accuracy.
+ Collaborate with internal teams, including field service and warehouse staff, to ensure smooth parts operations and customer satisfaction.
Essential Skills
+ High school diploma or GED.
+ 0–2 years of experience in a similar role or in a related field such as parts, inventory, purchasing, or customer service.
+ Ability to process emergency and routine parts orders and handle internal and external customer quotes and orders.
+ Ability to calculate figure amounts such as discounts, interest, commissions, proportions, and percentages accurately.
+ Experience making inventory corrections, adjustments, and counts.
+ Strong organizational skills with the ability to manage multiple orders and priorities simultaneously.
+ Effective verbal and written communication skills for frequent interaction with vendors, customers, and internal teams.
+ Customer service mindset with a focus on accuracy, responsiveness, and follow-through.
+ Basic proficiency with Microsoft Office applications, including Excel for data entry and simple database work.
+ Ability to travel as required and to frequently lift up to 50 pounds as part of warehouse and field duties.
Additional Skills & Qualifications
+ Associate degree (A.A.) preferred but not required.
+ 1–2 years of experience with SAP or similar ERP software is a plus.
+ Experience with procurement, purchasing, or inside sales is beneficial.
+ Familiarity with oil and gas industry environments is an advantage.
+ Knowledge of Caterpillar and Waukesha engines is a plus.
+ Experience working with inventory databases and ERP systems for ordering and inventory management.
+ Demonstrated ability to work effectively in a fast-paced, service-oriented environment.
+ Strong attention to detail and accuracy when entering data and processing transactions.
Work Environment
This role operates across office, warehouse, shop, and field environments, providing a mix of administrative and hands-on work. You will work with ERP systems such as SAP, Microsoft Office tools including Excel, and typical warehouse equipment for shipping, receiving, and inventory handling. The position may require travel to vendor and customer locations and the ability to frequently lift up to 50 pounds. You will occasionally visit industrial and manufacturing settings as part of deliveries, pickups, or site support. This is a Contract to Hire position based out of Alice, TX.
Pay and Benefits
The pay range for this position is $26.00 - $33.00/hr.
