Description
A small but dynamic company in San Carlos, CA, is seeking a Document Control Filing Expert on a part-time, contract basis for a 1-2 month project. This role is critical in helping the organization streamline and organize its documentation processes, ensuring that records are accurate, secure, and easily retrievable. The estimated hours per week may vary up to 10 hours per week.
This is an excellent opportunity for a detail-oriented professional with prior document management and filing experience to make a meaningful impact in a short-term capacity.
Key Responsibilities:
+ Organize and implement a comprehensive document filing system, both physical and digital, based on the company’s needs and compliance requirements.
+ Verify and update existing files, ensuring all records are accurate, properly labeled, and appropriately stored.
+ Establish and enforce file-naming conventions and best practices for maintaining records consistency.
+ Digitize paper documents by scanning and categorizing them into the company’s preferred document management system.
+ Perform a quality review of documents to ensure completeness, proper formatting, and alignment with organizational filing standards.
+ Collaborate with team members to retrieve and archive documents as needed.
+ Dispose of outdated or duplicate files securely, in accordance with company policies.
+ Train staff on how to utilize the newly organized filing system effectively (as needed).
Requirements
+ Proven experience in document control, records management, or filing systems (experience in a small business environment is a plus).
+ High attention to detail and strong organizational skills.
+ Familiarity with both physical and digital filing systems, including cloud-based document storage solutions (e.g., SharePoint, Google Drive, Dropbox, or similar).
+ Proficiency with scanning equipment and related software.
+ Ability to handle sensitive and confidential information with utmost discretion.
+ Strong communication skills and a proactive approach to problem-solving.
+ Self-motivated, reliable, and able to work independently with minimal supervision.
