Part-Time Administrative Assistant
Description Job Title: Part-Time Administrative Assistant Schedule: Tuesdays & Thursdays, 8:30 AM – 4:30 PM Duration: Temporary assignment through at least the end of October Reports To: Chief Administrative Officer; daily direction from Chief Scientific Officer and office staff of 20 Position Summary We are seeking a professional, highly organized Part-Time Administrative Assistant to support our leadership team and office staff. This individual will serve as the first point of contact for visitors and callers, manage front desk operations, and provide administrative support to ensure smooth daily office operations. The role requires strong attention to detail, excellent communication skills, and the ability to handle a wide variety of responsibilities in a fast-paced environment. Key Responsibilities + Serve as receptionist: greet visitors, answer and direct phone calls, and provide a welcoming first impression. + Perform clerical duties including filing, faxing, copying, and document management. + Track and manage office supplies and ensure proper maintenance of office equipment. + Coordinate courier/taxi pickups, deliveries, and package distribution. + Maintain conference rooms: ensure cleanliness, equipment readiness, and setup/tear down as needed. + Process and distribute standard mail. + Prepare expense reports with accuracy and timeliness. + Schedule and arrange meetings and events, including catering orders. + Coordinate travel arrangements and itineraries as needed. + Maintain and update the company rolodex and contact lists. + Assist Project Managers and Research Directors with special projects as required. Requirements • Proficiency in Microsoft Excel, including creating spreadsheets and analyzing data. • Strong organizational skills with experience in calendar management and scheduling. • Excellent communication skills, both written and verbal. • Ability to multitask and prioritize tasks effectively under tight deadlines. • Previous experience in administrative roles or similar positions. • High level of attention to detail and accuracy. • Familiarity with office software and tools, including word processing and email platforms.
