About the Office of Admissions
The Office of Admissions, located in the Division of Enrollment and Access, is tasked with enrolling an incoming student body consistent with the mission and vision of access, research, teaching, service and engagement at Colorado State University. Admissions is responsible for coordinating enrollment efforts across the university related to inclusive recruitment and counseling, marketing, application, strategy, and technical support functions for most prospective students. With over 50 full-time staff and an additional 60 student employees, duties range from marketing and communication, prospective student events, application processing and decisions, enrollment strategy, recruitment and outreach, customer service, systems support and data analytics. Through innovative and strategic approaches, Admissions strives to balance its growth in attracting an increasingly diverse and well-prepared student body while remaining true to its land-grant mission and heritage. We employ a holistic, comprehensive review process to select new undergraduates, not only in light of their preparation, but their potential to successfully contribute to the campus and world community.
About the Work Unit
The Engagement and Outreach team currently consists of the Director, the Associate Director of Engagement, Associate Director of Outreach, the Assistant Director of Events, Assistant Director of Engagement, three professional staff members and approximately 60 student ambassadors. The unit is charged with engaging with campus partners, external constituents and alumni to assist in reaching the university’s enrollment goals. Additionally, this unit coordinates group visits, daily information sessions, and large recruitment events.
Position Summary
This position reports directly to the Assistant Director of Engagement and is a key member of the Engagement team within the Colorado State University Office of Admissions. The Outreach Coordinator and Ambassador Advisor is responsible for the implementation, execution, and logistics of the Group Visit Program, as well as co-advising the Admission Ambassador Program.
The Group Visit Program welcomes 3–5 high school groups weekly during the fall and spring semesters, and multiple times per month in the summer. Responsibilities include scheduling rooms, arranging meals and presentations, preparing materials, and coordinating ambassadors to lead campus tours. This position will also present Daily Information Sessions and provide admissions counseling for prospective students when other staff are unavailable.
As Ambassador Advisor, this role provides leadership in the daily operations, professional development, and support strategic direction of the CSU Admission Ambassador Program. The position oversees 2–3 Ambassador Coordinators and approximately half of CSU’s 50–80 student ambassadors—student leaders who represent and promote the University to prospective students and their families. Duties include managing scheduling, recruitment, training, and administrative processes to ensure alignment with the University’s enrollment and outreach priorities.
Additionally, the position actively supports front desk operations, daily visit experiences, and major admissions events, serving as lead when necessary. Evening and weekend commitments are required to support program activities and events. This is a twelve-month, full-time permanent position that plays a pivotal role in enhancing the prospective student experience, fostering team collaboration, and ensuring exceptional customer service within the Office of Admissions.
The successful candidate must be legally authorized to work in the United States by the proposed start date; the department will not sponsor a visa for this position.
Required Job Qualifications
+ Bachelor’s degree in liberal arts, foreign languages, cultural studies, business or related field
+ One year of demonstrated leadership and or professional experience working with high school or college students (experience gained while working as a college student will be considered.
+ One year of campus visit programming experience or event planning experience (experience gained while working as a college student will be considered.
+ Demonstrated experience giving presentations to groups of various sizes.
+ Must have a valid driver’s license or the ability to obtain a driver’s license or access to a licensed driver by the employment start date.

+ Co-supervisethe Admissions Ambassador Program, a team of 50–80 current students who conduct campus tours, support Engagement & Outreach events, staff Ammons Hall front desk, and participate in a variety of recruitment activities both on and off campus.
+ This position will co-advise all training and leadership for the program.
+ Conducting performance reviews and exit interviews with supervisees
+ Facilitating ongoing professional development workshops and leadership opportunities for Ambassadors
+ Write letters of recommendation and nominating ambassadors for departmental and university awards as applicable
+ Manage ambassador scheduling to meet office needs, including daily visit experiences, group visits (in collaboration with the Outreach Coordinator and Ambassador Advisor), admissions events (event preparation, speaker selection, and on-site leadership), and other recruitment activities as requested by the recruitment team.
+ Including recruiting, professionally developing and setting expectations for meetings within coordinator contracts.
+ Approve timesheets and coordinate payroll processes in collaboration with the Admissions Business and HR Operations Manager, including:
+ Tracking and resolving payroll errors and discrepancies

+ Manage shuttle reservations, ensuring accurate scheduling and clear communication with all stakeholders.
+ Oversee regular water station replenishment and coordinate routine maintenance to ensure a clean, safe, and visitor-ready shuttle environment.

+ Manage the Group Visit program from start to finish, scheduling high school groups and customizing visits to meet their specific needs, including ensuring appropriate chaperone ratios.
+ Build and publish all Group Visit events through Slate collaborating with Marketing and Communications team as well as ensuring maintenance of event build with Office of Admissions Systems representative.
+ Provide comprehensive logistical support, including room scheduling, meal coordination, presentation arrangements, preparation of materials, and deployment of Ambassadors for campus tours.
+ Lead all group visit presentations and ensure content aligns with admissions goals.
+ Ensure accurate entry and maintenance of student contact information in Slate.
+ Recruit, train, and supervise a specialized team of Admissions Ambassadors who lead Group Visit tours and support access populations.
+ Develop and implement a strategic DEIJ training plan for the Ambassador organization, collaborating with campus partners to maintain consistent and effective training.
+ Conduct weekly one-on-one meetings with three coordinators (Campus Visits & Tours, Recruitment, and Training & Team Bonding). Provide personalized support and access to appropriate professional development resources.
+ Actively participate in weekly, biweekly, and monthly meetings with coordinators, ambassadors, Engagement & Outreach staff, and broader Admissions teams.
+ Oversee logistical planning, coordinate meetings, and build strong working relationships with team members across Engagement and Outreach team and other members of the Office of Admissions.
+ Collaborate with the Engagement team to schedule Ambassadors for key events, includingExplore CSU ,Choose CSU , Daily Information Sessions, and group visits for both prospective and admitted students.
+ Leader in communicating event details, Schedules through W2W, agendas, directions, and expectations to ambassadors in collaboration with Event Ambassador Coordinator.
+ Support the Engagement Coordinator and Ambassador Advisor with weekly team announcements, campus partner feedback, communication of closures or route changes affecting tours, and collection of Ambassador feedback for professional staff review.

+ Maintain and improve ambassador program policies and advocate for ambassadors
