Outpatient Clinic Supervisor
Monday-Friday 8am-5-pm
GENERAL DUTIES
Works with the leadership in implementing policies and procedures established by the hospital. Takes initiative in establishing practice operational procedures to ensure timely access of patients to doctors. Handles patient/parents' complaints.
Selects, trains, orients and assigns staff. Works with leader(s) to resolve operational and personnel issues. Supervises employees working in front office and nursing functions. Performs probation and annual performance reviews for all employees. Prepares timecards for office staff and verifies employees are entitled to any sick/vacation time taken.
Supervises daily close for the practice ensuring that receipts balance with deposit. Ensures that enterprise cash drawer closing report is completed as required. Ensures that a bank deposit is made as per required frequency. Ensures newborn cards are sent to CBO billing. Maintains the petty cash fund.
Works with the leader(s) in the development of the practice annual personnel/capital/expense budgets. Completes all capital purchase requests, purchase requisitions, check requests, travel/education requests and travel reimbursement form and submits for approval as needed.
Maintains physician office, vacation schedules and updates templates in the EMR. Coordinates schedule coverage in event of last-minute changes. Prepares monthly office schedules coordinating employees’ vacation days and half-days to ensure office coverage. Ensures that physicians' licensure is current.
Responsible for ordering all office supplies, medical supplies, vaccines and equipment. Ensures that all packing slips are scanned and emailed to receiving. Responsible for vaccine management and reconciled in appropriate tool as well as vaccine ordering through the same.
