As an Order Management Specialist, you’ll be the backbone of our order processing and fulfillment operations—ensuring every detail is handled with care and efficiency. 💼 What You’ll Be Doing: + Ensure sales orders align with contract terms and pricing. + Verify invoices for completeness and accuracy across buyer/seller and financial details. + Collaborate with AR Staff Accountant to build fulfillment calendars for advertised programs. + Complete order management and fulfillment for service contracts within 24 work hours. + Process retail orders and invoices within 24 hours of receipt. + Monitor book order emails and phone lines, processing orders within 2 hours. + Post invoices after shipment to recognize revenue. + Manage reseller orders and portals (e.g., Amazon, Ingram) and respond promptly. + Communicate clearly with resellers and internal teams. + Respond to customer inquiries within 24 hours, ensuring top-tier service. + Prepare and process refunds, replacements, and credits per policy. + Monitor and adjust inventory levels in NetSuite. + Run monthly Cost of Goods and related reports. + Coordinate with shipping/storage partners to resolve issues and fulfill orders. 🧠 What You Bring: + 2+ years of experience in finance, accounting, or order management. + Associate’s degree in accounting or related field preferred. + Proficiency in NetSuite (or ability to become proficient within 60 days). + Completion of SuiteFoundation certification within 180 days. + Strong skills in Excel, MS Word, Google Suite; Salesforce experience is a plus. + Excellent written communication and a growth mindset. + High accountability and ability to apply feedback effectively. + Detail-oriented, organized, and customer-focused. 🎁 Perks & Benefits: + Be part of a collaborative, open-suite environment that values teamwork. + Join a mission-driven non-profit with room for growth and impact. + Monday–Friday schedule: 8:00am–4:30pm with a 30-minute unpaid lunch. + Work alongside passionate professionals in a supportive culture. Pay and Benefits The pay range for this position is $19.00 - $19.00/hr. Eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
