Order Entry Representative
Job Title: Order Entry RepresentativeJob Description The Order Entry Representative provides responsive and accurate customer service by processing quotes and orders, coordinating with production and sales, and resolving customer issues in a timely and professional manner. This role requires strong attention to detail, excellent communication skills, and the ability to work in a fast-paced manufacturing environment while maintaining broad knowledge of the organization’s products and services. Responsibilities + Maintain a broad and up-to-date knowledge of the organization’s clients, products, and services. + Document all customer interactions and transactions accurately and completely. + Listen attentively to customer needs and concerns, demonstrate empathy, and act as an advocate for the customer. + Accurately process quotes and orders received by phone, fax, and email in accordance with cut-off times and other time constraints. + Perform timely and precise data entry of faxed, emailed, and phone-in orders for production. + Coordinate between sales and production teams to ensure customer deadlines are met. + Maintain effective communication channels with product and support staff to facilitate smooth order processing. + Communicate proactively with customers to determine and confirm expected delivery dates and times. + Resolve product or service issues by clarifying the customer’s complaint, determining the root cause, selecting and explaining the best solution, expediting corrections or adjustments, and following up to ensure full resolution. + Assist sales staff by expediting orders and facilitating communication with the production floor. + Answer incoming telephone calls and direct callers to the appropriate departments in a professional manner. + Greet customers courteously, friendly, and professionally, both in person and over the phone. + Participate in internal and external educational opportunities to enhance product knowledge and job-related skills. + Maintain regular and predictable attendance, perform tasks safely, and adhere to all safety policies and procedures. + Collaborate with and assist co-workers as needed to support team goals and customer satisfaction. + Perform other duties as assigned to support departmental and organizational objectives. Essential Skills + Minimum of 1 year of previous customer service experience; experience in the glass industry is preferred. + High school diploma or equivalent. + Proficiency with order entry and customer service processes. + Experience using ERP systems for order processing (SAP experience preferred). + Basic proficiency with Microsoft Excel. + Strong organizational skills with the ability to prioritize work to meet deadlines. + Strong listening skills to accurately understand and respond to customer needs. + Ability to work independently with minimal supervision while managing multiple tasks. + Ability to work effectively in a fast-paced, team-oriented environment. + Strong time management skills and the ability to multi-task successfully. + Excellent verbal and written communication skills with a professional demeanor. + Ability to work overtime when required. Additional Skills & Qualifications + Associate degree is preferred. + Experience in a manufacturing or glass industry environment is a plus. + Bilingual skills in Spanish are preferred. + Familiarity with SAP or similar ERP systems is highly desirable. + Demonstrated ability to build positive relationships with customers, sales, and production teams. + Willingness to participate in ongoing training and educational opportunities to enhance product and job knowledge. Work Environment This position is based in a corporate manufacturing facility with a standard shift of approximately 7:00 a.m. to 4:00 p.m. The role operates in a fast-paced production and office setting that requires frequent communication with sales, production, and support staff. You will work primarily with ERP systems (SAP preferred), standard office software such as Excel, and typical office equipment. The environment emphasizes safety, teamwork, and reliable attendance, with occasional overtime required to meet customer and production deadlines. Professional, neat attire appropriate for a corporate manufacturing setting is expected. Job Type & Location This is a Contract to Hire position based out of Vernon, CA. Pay and Benefits The pay range for this position is $20.00 - $25.00/hr. Eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
