Order Administrator

This position is opened by the Flow Controls Business Unit which is part of the Final Control Group. The administrator position is based in Dhahran Techno Valley, Saudi Arabia and caters to customers based in Saudi Arabia and Bahrain. **In This Role, Your Responsibilities will be:** + Assume responsibility for Saudi and Bahrain world area order entry on all Flow Controls Main equipment’s, and parts orders received from sales, partners and direct customers. + Review contracts and orders received, with core focus on KOB3 business. + Work with Customer Service, Sales & Plant personnel to resolve order entry related concerns. + Load & manage orders into Fisher First 2 and Oracle systems and any other internal systems as required. + Co-ordinate with the Logistics and Warehouse team to ensure that the shipment has been delivered as per the INCO- terms to ensure the continuous progress in the process which will contribute to on time delivery of entire organization. + Check payment terms thoroughly and apply for the bank submission documents i.e., Letter of Credit/Cash Against Document/Bank Guarantees for KOB3 business. + Setting up customer address in Oracle Systems. + Follow-up with warehouse/factory for on-time delivery + Co-ordinate with the shipping coordinator for the shipment of items and /or for the submission of necessary shipping documents. + Forecast the monthly sales plan for Buyout orders and follow up on the same with Customer Service team and factories as needed, to ensure that the forecast is met with. + Any other duties as deemed appropriate by the Line Manager. **Invoice Management:** + Assume responsibility for Saudi and Bahrain world area invoice generation and submission for all of Flow Controls key customers. + Review contracts & orders received from Local Business Partners/Sales and ensure the invoices are aligned. + Load & manage invoices into customer financial sites. + Co-ordinate with the Logistics and Warehouse team to ensure the shipment has been delivered as per the INCO- terms. + Review documentation provided by Shipping Team and submitted to customer if required, along with the invoice. + Any other duties as deemed appropriate by the Line Manager. **Date Management:** + Ensure alignment of customer request date with enterprise lead time (ELT). **Change Orders:** + Receive and manage various types of change orders on time. **Documentation:** + Ensure that necessary bank documentation is submitted to Finance as per the requirement detailed in the order on time. + Ensure that necessary documents are submitted as per the requirement detailed in the order on time. + Ensure Bank Guarantee submission is on-time in line with Purchase order requirement. + Translate documents to Arabic for the requirement of order and invoice management. + Ensure that necessary docs of invoice and supporting documents are submitted to customer. + Ensure necessary records are kept of the invoice submission. **Dispute Resolution:** + Resolve issue with payment collection and work collaboratively with Finance, Sales and partners. **Quality:** + Make recommendations to eliminate non-value-added activities **Who you are?** + You will be always committed + Administration & Organizational skills **For this Role, You Will Need:** + Business Management + Proficient in Excel + 3-5 years of Experience **Preferred Qualifications that Set You Apart:** + Business Management, Financial Analysis + Experience in Finance and Order Administration + Good command on Spoken & Written Arabic **Our Culture & Commitment to You!** At Emerson, we prioritize a workplace where every employee is valued, respected, and empowered to grow.
