Employment Type: Full-Time
Location: San Carlos (Hybrid)
Salary: $125-150k base + bonus
A growing and client-focused wealth management firm in San Carlos, CA is seeking a seasoned Operations Manager to lead daily operations and team development. This role is ideal for someone with a strong background in financial services operations, team leadership, and HR responsibilities within a Registered Investment Advisor (RIA) environment.
Key Responsibilities
Client Service & Operational Efficiency
+ Oversee new client onboarding, financial planning workflows, and account openings
+ Ensure seamless account transfers and maintain proactive client communication
+ Manage document delivery preferences, beneficiary/trusted contact updates, and system access
+ Coordinate pre- and post-meeting tasks such as proposals, paperwork, and follow-up actions
+ Maintain accurate client records and ensure compliance with documentation protocols
Team Leadership & HR Oversight
+ Supervise and mentor operational staff, providing training on systems and procedures
+ Lead performance evaluations and contribute to hiring and onboarding efforts
+ Manage payroll, benefits administration, and HR policy compliance
+ Foster a collaborative and high-performance team culture
Business Operations & Compliance
+ Maintain and improve operational procedures, checklists, and internal systems
+ Monitor custodial alerts and handle client service-related escalations
+ Ensure adherence to compliance policies and support audit readiness
+ Coordinate marketing campaigns, maintain content for digital platforms, and support client events
Client Engagement & Event Planning
+ Support the planning and execution of client appreciation events
+ Manage logistics including venue coordination, guest communication, and materials approval
+ Deliver high-touch service during client-facing events and firm initiatives
Requirements
+ 8+ years of experience in financial services, preferably in a Registered Investment Advisor (RIA) setting
+ 3+ years of experience managing a team, with a demonstrated ability to lead and develop others
+ Direct experience managing HR functions within a wealth management or advisory firm
+ Strong organizational and communication skills, with a client-first mindset
+ Familiarity with platforms such as Redtail, ClientWorks, and financial planning tools is a plus
