Operations Manager
Job Description
The Operations Manager plays a critical role in supporting and implementing internal workflows, including team operations, technology, and financial management. This role requires exceptional detail orientation and problem-solving skills to enhance daily operations, working closely with the COO and CEO. The position offers personal flexibility, requiring a minimum of 32 hours per week, with the option to complete some tasks remotely.
Responsibilities
Operations & Workflow Management: Update the firm's standard operating procedures and ensure compliance among team members. Oversee daily office operations and manage administrative logistics for new hires and exiting employees.Meeting Leadership: Assist in facilitating internal meeting agendas and ensure follow-through.Quality Control: Regularly audit CRM data and team workflow performance to maintain data integrity and service standards.Financial Administration: Manage QuickBooks, including transaction matching and reconciliation. Coordinate monthly payroll and monitor team timesheets. Prepare 1099s/W2s and organize year-end tax documentation.Compliance & Legal Operations: Assist in preparing and submitting compliance filings, drafting annual ADV amendments, and managing U4/U5 filings and state-level registrations.Technology Operations: Lead new technology projects and serve as the first point of contact for team tech issues. Maintain IT asset list and ensure security protocols are followed.Client Service: Build and maintain relationships with clients, schedule meetings, set up new accounts, and manage ongoing maintenance of client accounts.Essential Skills
Bachelor's Degree in any major and/or 2-3 years of experience in operations or back office, preferably in financial services.Familiarity with financial operations systems, preferably QuickBooks.Exceptional attention to detail and follow-through.Proven ability to complete and prioritize workflows, solve problems, and meet deadlines.Proficient in computer and software skills, with a preference for Google Workspace.Excellent communication, procedural writing, and collaboration skills.Financial aptitude with the ability to analyze and draw conclusions from financial data.Additional Skills & Qualifications
Familiarity with RIA operations, regulators (SEC, FINRA), and vendors is preferred.Strong office administration, communication, and people skills.Work Environment
The position offers a hybrid schedule with target hours of 32-40 per week, combining remote work and in-office presence. You will be in the office approximately three days per week, which may include partial days. During the probationary and training period, most hours will be conducted in the office to foster engagement and learning. Pay and BenefitsThe pay range for this position is $31.25 - $38.46/hr.
