3. Reporting to : Business Heads (Korea) and matrix into PDS SEA+K Head of Operations

4. Key Stakeholders : Management team - consisting of the Hub Leader, Business Line Directors, Business Development Manager, Clients, and Industry network

5. Indirect reports : Team consisting of

Project Directors, Design Directors, Senior Project Managers, Project Managers, Assistant Project Managers Project Coordinators

6. Duties & responsibilities : Responsible for supporting the day-to-day operations of the PDS business in (Korea).  In your role you will be working closely with the Korea PDS Business Heads, as well as the sector and product leads, providing them with support across all systems and platforms and for all service/product types offered including project management, design, construction, and technical advisory.

You will work closely with the PDS SEA+K Head of Operations on governance and risk management, Environment Health & Safety (EHS), technology, policies, processes, and procedures.

Possess a complete understanding of the PDS Strategic priorities and targets.

Be an effective role model for PDS team members, demonstrate all the desired Leadership behaviours/goals, including Operations and Business Development targets

7. Performance Objectives:

PDS Strategy

Actively manage and promote PDS systems and support the use and compliance with these systems across the business and on projects. These include Certinia, Project Toolkit, AdaptiveWork, Jaggaer, PowerBI, Qualtrics, OpenSpace, BIM and any other apps and platforms that may be introduced into the business from time-to-time.Provide contributions to regional and global teams on improvements.Provide continuous transparency on essential aspects of the business.Desire to display and create enthusiasm which drives creativity and determination to find a means to deliver.Total focus on PDS business goalsMaintain excellent working relationships with the wider JLL and PDS organization to ensure all referral business opportunities are captured, evaluated, and acted upon.

BUSINESS OUTCOMES

Facilitate or conduct ad hoc training to staff on specific processes or policies that need improvement or new systems being implemented.Contribute to the creation, improvement and maintenance of document templates, policies and procedures where required. Work with the sector and product leads to support the use and ensure implementation of the required process tools across all projects through Project Toolkit.Oversee the use of AdaptiveWork on projects. Work with the sector and product leads to support the use and adoption by all staff and ensure data accuracy and compliance to necessary tasks on the platform across all projects.Oversee the use of Open Space (or any other site visualisation tool from time-to-time) on projects. Work with the sector and product leads to support the use and adoption by all staff on projects.Be responsible for the review and comment on all project risks through the monthly risk register review process. Follow through on the comments with respective project teams to ensure close-out. Monitor team performance monthly on risk management reporting via AdaptiveWork and provide feedback.Together with the Korea and SEA+K HSSE Lead, implement and maintain the Quality Management System (QMS) in terms of Health, Safety, Environment and Quality (HSEQ) to continuously maintain ISO certifications.Work with the Korea and SEA+K HSSE Lead to set HSSE objectives and targets each year. Monitor performance and ensure that the firm’s HSSE policies are understood by project teams and procedures are implemented on projects.Provide support if any incidents occur and follow up on flash reports and corrective actions until closure. Monitor performance monthly on HSSE reporting via AdaptiveWork and provide feedback/reporting.Oversee, contribute to, and coordinate the training programs available to PDS staff. Work with all staff to complete needs analysis for training. Guide and support all staff through the process of gaining the necessary knowledge and skills necessary to operate at the desired level of competence. Monitor that the staff are recording training hours regularly and achieving set targets.Manage, coordinate, and conduct the on-boarding and orientation process for new staff.Develop and strengthen relationships with, and where possible, introduce opportunities to other JLL business lines.Support the drive to achieve resource efficiency and profitability for the business. Monitor that all staff are recording resource utilisation and compliance of data entry (time) and budget into Certinia.Work with the cost management team on matters relating to project procurement and cost management. This includes process and procedures for vendor management such as registration, framework agreements, contract administration and others.Oversee the use of Jaggaer on projects. Work with the sector and product leads to support the use and adoption by all staff and ensure compliance to necessary tasks on the platform across all projects.Oversee the use of Certinia on projects. Work with the sector and product leads to support the use and adoption by all staff and ensure compliance to necessary tasks on the platform across all projects.Support in the coordination and establishment of annual individual performance goals for all staff.Conduct periodic reviews & internal audits on selected projects throughout the year to check on process compliance, proper use of the firm’s project delivery tools & systems (AdaptiveWork, Bravo, others) and compliance with the QMS. Follow through on audit findings with the respective project teams to ensure close-out.Ensure that the project teams understand and comply with PDS governance guidelines for internal & external audit requirements, directives & guidance from internal & external legal advisors and 3rd party first service providers. This includes the active use of and adherence to the PDS Sales governance policy and process.Work with the sector and product leads to support the review process on contracts (head-contract and sub-contract). Coordinate where necessary between the project teams and JLL’s in-house legal, risk and governance team on related matters.Monitor and coordinate the Qualtrics customer survey process. Manage and collate all survey results on completed projects. Track for completeness of surveys, compile and analyse results for insights through to close out.Work with the General Manager/Business Heads to ensure client and PM feedback is reviewed and follow-up actions are identified and implemented.Support the Culture & Employee Experience (CEE) initiatives and programs in the business and across the SEA+K Hub.Support and contribute to the PDS SEA+K Hub newsletter and any other internal communications or team building efforts.

LEADERSHIP

Ensure you have effective knowledge of JLL and local HR Policies and PracticesProvide a leadership role in identifying and managing risk in all aspects of the location’s operations.Support the PDS team to comply with PDS governance guidelines.Work with Sector leaders, support in the efficient allocation of PDS team members to existing and future projects.Monitor and manage the Location’s budget, ensuring that appropriate and timely feedback is given on slippage and opportunities across the respective P&L.

Analytical and resourceful. Good organizational ability.  A high level of proficiency with and an ability to use a wide range of technology tools and platforms related to the field of project management, design and construction.A degree in a relevant Project or Construction Management related discipline and ten (10) years’ experience of Design, Construction, or Project Management. Prior experience in business operations management is an advantage. Understand the legal environment for each project in respect of planning, commercial aspects, and delivery constraints.Be able to carry out commercial negotiations with contractors, suppliers, consultants, and authorities within established limits of authority.Understand our obligations for complying with ISO14001, ISO45001, ISO9001 and Environmental Health and Safety legislation generally.Assist in maintaining accreditations where applicable.Possess the maturity and the desire to be an active change leader on operational and people matters. Due to the need to influence remotely and locally having change leader experience is a must.Due to the high-risk nature of the operations and the need to work effectively with strategic business decision makers, the role holder should have extensive working experience, gained within the respective industry sector. This experience should encompass most facets of PM and CM services and examples of achievement.Fluent in English and Korean
