Job Details

Why do we need a new colleague? Currently, our team is handling in average 70 international shipments per month. With the upcoming implementation of a new project, we anticipate an additional 250 shipments per month. To effectively manage this increase in workload and ensure operational efficiency, it is essential to expand our workforce.

Responsibilities:All tasks in his position are completed in a correct, timely, rapid and cost-efficient mannerThe number of customers is increased and the loyalty to the customers is establishedThe customer receives the maximum amount of service-qualityThe needs and expectations of the customer/the other World Courier offices are considered and fulfilledCustomer service is constantly availableShipments are sent by the most secure, most rapid, and most efficient wayAll new relevant and applicable regulations and guidelines are adhered toAll relevant customs regulations are adhered to for all imports and exports of industrial service shipments.

To perform duties and responsibilities on the issues of customer service:

to coordinate the cooperation between his area of work with all other areas of the Company in such a manner that the flow of information is always free of friction, unimpeded, and a holistically positive coordination is assuredto accept jobs by telephone/email/fax/internetto calculate transit-times. To raise jobs on TMS and edit these if need arisesto select routings by deciding on a single or combination of transportation-types (airplane, car, train, Aerolink)to check collected shipments in the office and prepare them for transportto book and pre-advise shipmentsto monitor shipments during the transport and react flexibly to any deviation from the planto complete jobs (enter extra-charges, pricing)to use and maintain the available technical tools (TMS, OpStar, OMNI, Jetstream)to partake in being 'on-call' regularlyto communicate with national and international World Courier stations/ Aerolink/ agentsto build and maintain relationships to contractors/transporters (airlines, handling agents, the Rail, customs, government agencies, veterinarians, suppliers, etc)to advise customers through: explanation of the services / explanation of the transport charges / selection of the optimal transport alternative / selection of the necessary documents for the transport / information about irregularities/delays / informing the customer of the delivery data (POD) / acceptance, examination and forwarding of complaintsto support sales through: forwarding relevant information to the Business Development Manager / preparation and execution of written offersto edit and maintain jobs (Exports /Imports) in TMSto perform a "Routing Check", specifically in regards to the selection and combination of different transport models (airplane, car, train, Aerolink).to order drivers (pickup/delivery of shipments at the customer, delivery/ pickup of shipments at the freight-company).to check the notes in TMS and handle preadvised shipments continuouslyto check the planned departure or arrival times of flights (“Post Flight Check”).to recognize important information and make immediate use of this information (All Stations Emails, Holiday Lists, Ops-Memos, C/H Memos)to manage the store-room (packaging, supplies, cooling-media, etc.)to perform preliminary actions, specifically:to prepare and dispose of packaging-materials and cooling-mediato mark and label of shipments as per regulationsto prepare and/or to procure of all necessary documentation (HWB, MAWB, import or export permit, export customs paperwork, live animal certificate, dangerous goods declaration, etc)to carry out all customs formalities (Export I Import) through: the inspection and/or procurement of all necessary paperwork for the import or export (import or export permit, export customs paperwork, etc); / the determination of all customs and/or taxes, and entering these in TMS; / customs declaration (electronic or by internet) at the responsible customs office (Import I Export)to perform duties and responsibilities on the issues of temperature controlto monitor and control temperature controlled shipments under special careto handle customer enquiries with special requests on temperature controlto be able to interpret temperature charts beyond basic knowledgeto be able to explain the relation between refrigerants, packaging, shipped material, outer conditions and other and the impact of these to each otherto monitor and control the smooth function of freezers and refrigeratorsto take care about the pre-conditioning of refrigerants in general especially of gel packs/ cool packsto take care about the right storage and use of especially TCS (VIP system)to take action to develop these issues in the office. To do trainings and update local staff concerning all relevant issues regarding temperature control
