Key Responsibilities
Executive & Leadership Support
Provide executive-level administrative support to the Executive Regional Director, including calendar management, email management, travel coordination, and expense reporting.Prepare and format PowerPoint presentations and supporting materials as requested.Monitor approvals inbox/workflow to ensure timely processing and follow-up.Office Operations & Administration
Perform daily office opening duties to ensure readiness for staff and visitors.Serve as backup for Reception, including greeting visitors, managing the main phone line, coordinating building security access, handling mail, and maintaining a professional lobby environment.Maintain and update internal and external broker/staff contact lists.Monitor website referrals and route inquiries to appropriate teams.Maintain the Listing Agreement database and ensure data accuracy.Process agreements and support related documentation workflows.Complete and submit IABS forms accurately and on time.Support office purchasing, invoicing, and general expense processing.Records & Compliance
Coordinate records storage and document retention processes to ensure compliance and organization.Vendor & Partner Coordination
Act as the secondary point of contact with various vendors for office services and operational needs.Coordinate sponsorships and track related commitments and deliverables.Event & Meeting Support
Coordinate and support internal and external events, including logistics, vendors, catering, and room setup.Provide back-up support for event coordination as needed.Provide backup support for conference room setup, scheduling, and room resets to maintain professional meeting spaces.Culture & Engagement
Coordinate employee and company anniversary recognition initiatives.Qualifications & Skills
High school diploma or GED required; Associate or Bachelor’s degree preferred.2+ years of experience in office coordination, front desk, or administrative support roles.Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).Familiarity with Adobe Creative Suite (InDesign, Photoshop) is a plus.Experience with Workday or similar systems is a plus.Strong organizational, multitasking, and communication skills.Professional demeanor with a customer-service mindset.Ability to work independently and collaboratively in a team-oriented environment.Cushman & Wakefield also provides eligible employees with an opportunity to enroll in a variety of benefit programs, generally including health, vision, and dental insurance, flexible spending accounts, health savings accounts, retirement savings plans, life, and disability insurance programs, and paid and unpaid time away from work. The compensation that will be offered to the successful candidate will depend on factors such as whether the position is covered by a collective bargaining agreement, the geographic area in which the work will be performed, market pay rates in that area, and the candidate’s experience and qualifications.
The company will not pay less than minimum wage for this role.
