Operations Associate – Wealth Management Firm
A well-established, client-focused wealth management firm with decades of experience supporting individuals, families, businesses, and foundations is seeking an Operations Associate to join its dynamic Operations team. With a collaborative culture and a commitment to excellence, the firm provides personalized financial solutions, strategic planning, and operational support to help clients navigate their financial lives.
This role offers a unique opportunity to work closely across multiple departments including Investments, Client Service, and Wealth Advisory teams. The ideal candidate is detail-oriented, systems-minded, and self-driven about long-term operations work.
Role Overview
The Operations Associate plays a crucial role in maintaining and enhancing the firm’s operational infrastructure. Responsibilities range from daily operational tasks to quarterly reporting and project execution. The position offers development opportunities and the chance to lead initiatives that improve efficiency and client service.
Key Responsibilities
General Operations
+ Reconcile trading and portfolio accounting systems
+ Own transactional data integrity within the accounting platform
+ Manage client onboarding in trading and CRM systems
+ Execute and refine workflows across operational platforms
+ Produce standard and customized client reports
+ Conduct quality control for newly established accounts
+ Perform audits and ensure data consistency
Quarter-End Processing
+ Collaborate with client service and advisory teams for accurate reporting
+ Classify portfolio transactions and ensure timely performance reporting
+ Support billing processes
Alternative Investments
+ Maintain data on alternative assets and update valuations
+ Reconcile capital calls and distributions
+ Assist in calculating management fees on illiquid investments
Project Support
+ Help manage the firm’s client-facing portal (user setup, troubleshooting)
+ Participate in data clean-up and process improvement projects
+ Support bulk document uploads and periodic portal updates

Requirements
Ideal Candidate Qualifications
+ 1–2 years of experience in wealth management operations, ideally within a Registered Investment Advisor (RIA), brokerage, or family office environment
+ Proficiency with Microsoft Excel (advanced knowledge preferred)
+ Basic understanding of portfolio accounting and performance reporting
+ Genuine interest in operations as a long-term career path
+ Team-oriented with a collaborative mindset
+ Familiarity with financial systems such as RedBlack, Addepar, Orion, Salesforce, or other CRM and portfolio management tools (not required but helpful)
