Operations Analyst – JLL

What this job involves: As an Operations Analyst at JLL, you will support facilities management and finance operations through detail-oriented oversight of work order management, vendor coordination, and financial compliance processes. This role requires you to manage and oversee work orders within the Corrigo system while ensuring complete and accurate data entry throughout the work order lifecycle from initiation through completion. You'll create and manage Purchase Orders for JLL service provider partners while working directly with vendors to ensure proper documentation submission including detailed quotes, invoices, and supporting materials that reflect JLL's commitment to operational excellence and financial accuracy.

What your day-to-day will look like:

Work Order & System Management:

• Manage and oversee work orders within Corrigo system while ensuring complete and accurate data entry

• Monitor work order lifecycle from initiation through completion while maintaining system integrity

• Ensure proper financial coding and cost center allocation for all work orders in Corrigo system

• Generate reports from Corrigo system for management review and financial analysis

• Maintain work order documentation standards and ensure compliance with established workflows

Vendor Management & Procurement:

• Create and manage Purchase Orders (POs) for JLL service provider partners with comprehensive oversight

• Support Facilities Management team with contracted vendor scheduling and coordination

• Work directly with vendors to ensure proper documentation submission including detailed quotes, invoices, and supporting materials

• Enforce company policies regarding vendor documentation requirements and upload procedures

• Review vendor submissions for completeness and accuracy before processing payments

• Communicate documentation deficiencies to vendors and guide them through correction processes

Service Coordination & Documentation Compliance:

• Schedule vendor support for repairs, maintenance, minor works, and various work requests

• Track service requests through completion to ensure timely resolution and client satisfaction

• Provide clear information and direction to vendors, facilities staff, and service providers

• Ensure excellent coordination and execution of work with minimal disruption to operations

• Verify that all vendor quotes and invoices are properly uploaded to designated systems per company policy

• Train vendors on proper documentation procedures and system requirements

• Escalate non-compliance issues and work with vendors to implement corrective actions

Financial Analysis and Reporting:

• Support financial data management with strong attention to detail and accuracy

• Assist with cost center allocation and financial coding for operational expenses

• Generate comprehensive reports for management review and decision-making support

• Maintain organized documentation systems for audit and compliance purposes

Required Qualifications:

• Bachelor's degree in Accounting, Finance, or related field (or equivalent experience)

• 2-3 years of experience in accounting, finance, or vendor management

• Strong attention to detail and accuracy in financial data management

• Excellent communication and customer service skills for effective stakeholder engagement

• Proficiency in accounting software and Microsoft Office Suite

• Ability to manage multiple priorities and meet deadlines in fast-paced environment

Preferred Qualifications:

• Knowledge of vendor management processes and procurement procedures

• Understanding of financial coding and cost center allocation processes
