Job Description & Summary

We are seeking a diligent and organized Administrator to join our Middle Office Operations team within Internal Firm Services. This role provides essential administrative support to internal stakeholders, assisting in the accurate processing and management of operational tasks. The successful candidate will support daily office functions, maintain records, respond to queries, and assist with routine operational activities in a busy office environment.

This role offers the opportunity to build foundational administrative and operational skills and gain exposure to internal processes within a supportive team setting. 

Responsibilities include but are not limited to:  

Perform routine validation checks to ensure data accuracy and completeness  

Maintain and update records and databases in line with standard procedures  

Identify and escalate errors or missing information for resolution  

Collaborate with team members and internal stakeholders to address queries  

Support ongoing administrative activities and documentation management  

Assist with period-end or cycle-based tasks as needed  

Follow established workflows, controls, and procedures  

Provide clear and timely communication on task status and queries  

Support process improvement initiatives by identifying routine issues and suggesting ideas  

Maintain clear and accurate documentation for actions taken  

Adhere to a structured task and escalation process 

Experience and Skills  

Some administrative or operations experience (e.g., internships, previous roles, or shared services experience) is beneficial but not mandatory  

Ability to follow structured processes and attention to detail  

Comfortable handling data, reports, and spreadsheets  

Basic understanding of operational workflows and procedures  

Good communication and customer service skills  

Ability to prioritize tasks and work within deadlines  

Takes ownership of assigned responsibilities 

Education
