Operations Administrator

Trane Technologies has an exciting opportunity to join our organisation as a Permanent Service Deployer – Operations Administration. You will be part of a small dynamic team and will work collaboratively and provide overall responsibility to ensure accuracy of the Service Office monthly forecast for maintenance, working closely with the office deployment team and Regional Service Manager. Carrying out administration of systems to include deploying Technicians, to customers for both emergency and scheduled work. To provide cover for other team members during holiday periods and when required. The information you will handle is strictly confidential, and you are expected to always maintain the highest degree of confidentiality.

 

Key Responsibilities Include:

·        Ensuring TSC (deployment) forecast is 100% accurate at all times.

·        Responsible for planning technician’s workload (Quoted & Planned Maintenance Work) to ensure maximum utilisation/absorption of labour.

·        Working in partnership with other Service Deployers to ensure maximum utilisation of resources.

·        Compile and analyze Open Project Report to minimise outstanding works and liaise with Service Managers and Technicians to resolve outstanding works.

·        Verify and validate any incoming/internal correspondence to ensure internal credit and services processes are followed.

·        On activation of Service Agreements and On Demand works over 10k, maintain and organise company SharePoint database and file documentation for easy access and retrieval.

·        Liaise with credit function to ensure new orders are approved i.e. Customer Account is validated and not on stop.

·        Manage the customer service phone line and customer email requirements.

·        Evaluate customer requests for technical assistance and hand over to the Service Technical Support teams.

·        Generate and Deploy On-Demand call out jobs in the TSC system as per customer phone or email requests following Trane compliance

·        Process Purchase Orders for service activities and manage authorisation in line with Trane Australia processes and policies.

·        Receive goods and order as required into R12 Accounting system in line with Trane Australia processes and policies.

·        Continuously review and improve deployment systems and processes in collaboration with international counterparts.

To be successful for this role ideally you will have

·        Certificate in Business Administration (desirable)

·        Demonstrated knowledge and experience within corporate administrative function or Department.

·        Demonstrated knowledge and experience within a call centre environment (preferred) Demonstrated knowledge and experience within a Labour management/dispatch role (preferred)

·        Be a self-motivated/independent person, taking focus and ownership of all team and personal goals.

·        Maintain high standards of personal and team responsibility

·        Effective communication skills – both written and verbal

·        Effective interpersonal skills including ability to clarify and resolve customer service.
