This person would be responsible for event coordination, learning management system administration, and general customer services and office support. This position is responsible for coordinating training events, from sending agency-wide training announcements to reviewing the course evaluation data post completion. The position also administers the State's Learning Management System for WYDOT, including setting up agency training events, running reports as needed, and providing technical support. The incumbent provides office administration, from assisting management with contracts, performing accounting duties, to maintaining the Training Service's intranet presence. This Position Offers: + $2,000 Hiring Bonus(eligibility details in Notes Section)Comprehensive Health, Dental, and Vision Insurance, plus Short- and Long-Term Disability + A Secure Future: Pension Plan with 14.94% state contribution + Optional 457B Retirement Plan with a state contribution + Generous Paid Time Off for Vacation, Sick Leave, and 10 Paid Holidays Human Resource Contact: 307-777-4455 ESSENTIAL FUNCTIONS:The listed functions are illustrative only and are not intended to describe every function that may be performed at the job level. + Creates and maintains training calendars and spreadsheets. + Sends agency-wide training announcements and corresponds with internal and external state employees. + Registers employees for events and troubleshoots issues when necessary. + Orders, prints, and distributes event materials. + Sets up and tears down classrooms. + Sends and reviews course evaluation data following training events. + Administers the State’s Learning Management System (LMS) for the agency. + Identifies appropriate structure for training events (e.g., Instructor-led vs. Virtual, Learning Plan, Assigned Training, etc.), and configures appropriate settings to include location, instructor, course reminders, evaluations, and other notifications. + Sets up training events and records attendance following completion. + Imports newly created online training content, historical training records, and external training completion data. + Provides technical support on learning management inquiries and runs training completion and other reports on request. + Collaborates with other state agency LMS administrators to assist in entering and assigning their respective program’s training to employees. + Provides customer service as the first point of contact for agency or state employees reaching out to the Training Services program. + Maintains office supplies, processes invoices, and routes email inquiries to the appropriate employee, + Completes the property inventory when required, + Updates the Training Service’s intranet page and rotates with staff to write Interchange articles. + Performs other clerical and/or fiscal duties. Qualifications KNOWLEDGE: + Excellent customer service skills + Excellent oral and written communication skills + Experience with database management/learning management systems + Knowledge of basic financial accounting and bookkeeping + Office management skills, which require organizational, time management, and project management duties MINIMUM QUALIFICATIONS: Education: Associate's Degree (typically in Business) Experience: 0-2 years of progressive work experience (typically in Business Office Communications) with acquired knowledge at the level of an Office Support Specialist I OR Education & Experience Substitution: 2-4 years of progressive work experience (typically in Business Office Communications) with acquired knowledge at the level of an Office Support Specialist I Certificates, Licenses, Registrations: None Necessary Special Requirements PHYSICAL WORKING CONDITIONS: + Typically, the employee may sit comfortably to perform the work; however, there may be some walking, standing, bending, carrying / moving light items, such as chairs via a chair mover or tables using the leg wheels, driving an automobile, etc. + Special physical demands are not required to perform the work.
