GENERAL DESCRIPTION:
This position provides administrative and fiscal support for the entire agency. The individual in this position is an integral part of the customer experience and acts as the first point of contact for our guests, in person or on the phone. Interprets and applies policies, procedures, and guidelines while representing and serving Wyoming's Livestock industry through protecting livestock health and verifying livestock ownership.

ESSENTIAL FUNCTIONS: The listed functions are illustrative only and are not intended to describe every function that may be performed in the job level.
+ Greets, screens visitors, interviews customers/clients to evaluate and determine needs, and directs phone calls to appropriate staff.
+ Processes, sorts, and routes incoming mail.
+ Oversees receipt and distribution of office supplies for office and field staff within the agency.
+ Maintains agency files and records; inputs data into databases.
+ Coordinates with all unit inventory contacts to help maintain the agency-wide database of inventory.
+ Performs financial processing functions for transactions of both routine and non-routine or unusual nature.
+ Receives and examines fiscal documents to ensure necessary supporting documents and appropriate approvals are included with submissions.
+ Audit Brand Inspection travel vouchers for payment.
+ Enter WOLFS documents for payments.
+ Bring to management's attention any unresolved matters.
+ Will assist any unit within the agency with research, recording, and/or reporting of information and or special projects as they may arise.
Qualifications
PREFERENCES:
Preference may be given to those with front desk experience or office support experience.
KNOWLEDGE:
+ Knowledge of customer service principles, interpersonal skills, and multiline phone equipment and email.
+ Advanced usage of Microsoft Office Suite, including Excel and Access.
+ Organization skills, ability to prioritize work to maximum performance with little or no day-to-day guidance, and adhering to deadlines.
+ Ability to work as part of a team or independently.
+ Must be tactful, respectful, and patient when dealing with members of the public and colleagues. Must be able to remain calm under pressure.
+ Knowledge of State and Federal codes, regulations, and related statutes.
+ Thorough knowledge and understanding of Wyoming Statutes and WLSB.
+ Knowledge of basic accounting and business principles.
+ Knowledge of data entry in the WOLFS system.
+ Knowledge of computer program applications, data management, and record keeping
+ Ability to be flexible and multitask.
MINIMUM QUALIFICATIONS:
Education:
Associate's Degree (typically in Business)
Experience:
0-1 year of progressive work experience (typically in Business Office Communications) with acquired knowledge at the level of an Office Assistant II
OR
Education & Experience Substitution:
2-4 years of progressive work experience (typically in Business Office Communications) with acquired knowledge at the level of an Office Assistant II

Necessary Special Requirements
PHYSICAL WORKING CONDITIONS:
+ Typically, the employee may sit comfortably to perform the work; however, there may be some walking, standing, bending, carrying light items, driving an automobile, etc.
+ Special physical demands are not required to perform the work.
NOTES:
+ FLSA: Non-Exempt
+ This is an in-office position working Monday - Friday from 8 am to 5 pm.
