Description We are offering a short-term contract employment opportunity for an Office Services Associate in New York. This role is critical in ensuring the smooth operation of our office and requires a candidate well-versed in office functions, operations, and procedures. The Office Services Associate will perform key tasks including processing repro requests, managing mail deliveries and related tasks, and providing support for various office services.
Responsibilities:
• Oversee the processing and handling of repro requests, ensuring tasks are completed accurately and timely
• Manage mail delivery, including mail rounds and other related tasks
• Provide support for various office services, including but not limited to hospitality, facilities, audio/visual, and reception tasks
• Utilize Microsoft Outlook for scheduling and communication purposes
• Set up meeting rooms as required, ensuring all necessary materials and equipment are in place
• Handle sensitive and confidential documents and information with discretion
• Troubleshoot issues with office machinery, such as multifunction machines like Cannon or Xerox
• Maintain logs and records as necessary for office functions and operations
• Provide exceptional customer service, maintaining and enhancing customer relationships
• Work effectively in a fast-paced, team-oriented environment, interacting effectively with diverse backgrounds. Requirements • Proficient in Customer Service, demonstrating the ability to effectively interact with clients and colleagues.
• Experienced in managing Office Functions, ensuring smooth operations on a daily basis.
• Familiarity with Operations and Procedures, adhering to company policies and standards.
• Ability to handle Answering Inbound Calls, providing prompt and detail oriented assistance.
• Proficiency in Microsoft Outlook for scheduling, emailing, and managing tasks.
• Experience in Supervising, guiding, and leading team members when necessary.
• Knowledge of 'About Time' software or similar time management tools.
• Familiarity with Hiring Processes, assisting in recruitment and onboarding of new staff.
• Skilled in Scanning and Scanning Documents, ensuring accuracy and confidentiality.
• Knowledge of Receptionist Duties, warmly welcoming visitors and handling inquiries.
• Ability to Troubleshoot common office issues, maintaining a functional work environment.
• Familiarity with Facility management, ensuring a safe and comfortable workspace.
• Knowledge of Digital tools and applications, enhancing office productivity.
• Experience with Financial Notes, assisting in financial management and record keeping.
• Strong Communication Skills, facilitating clear and effective interactions.
• Ability to Maintain Logs, ensuring accurate record-keeping.
• Experience with Machinery related to office management, including photocopiers and fax machines.
• Interest or background in Photography, assisting in company events and promotions.
• Familiarity with Paper management, organizing and storing documents effectively.
• Knowledge of Quality Assurance principles, ensuring high standards of service and performance.
• Ability to Distribute Faxes in a timely and confidential manner.
