Position TitleOffice of Access Management ManagerSouthlake CampusPosition Summary / Career Interest:The Office of Access Management Manager is an integral member of the practice leadership team who is responsible for the overall management, coordination and performance of the Access Management team. The Office of Access Management Manager sets priorities and guides the operations in achieving targets set by leadership as well as achieving best practice in accordance with industry standards.
The Office of Access Management team is responsible for partnering with practices to optimize access to care and reducing friction for patients navigating the health system. The team is composed of Access Specialists who are responsible for provider schedule template standards and management, information management, identification of divergence of access targets or problems with capacity management, decision tree algorithms, scheduling policies and procedures, regulation of phone call distribution, appointment numbers and scripting, and implementation of best practicesResponsibilities and Essential Job FunctionsManages the day to day operations for Office of Access Management, oversees the development, coordination and evaluates implementation for short- and long-range standardization plans and process improvement within patient access. Provides leadership presence and guidance through direction and role-modeling. Assists Access Specialist with workload prioritization, reviews reports, and provides guidance on resolutions. Responsible to manage operational budget and staffing budget. Collaborates with Director to develop and implement standard operating procedures and ensures adherence to optimize appointment scheduling quality. Manages human resource functions such as interviewing, selection, orientation, education/training, feedback, performance evaluation, and policy and procedure development. Maintains personnel files, including documentation of appropriate staff orientation, competency, training, discipline and performance reviews. Oversees department timekeeping and payroll. Collaborates with HR concerning employee issues and performance. Conducts employee coaching, counseling, disciplinary actions and annual appraisals. Monitors staff adherence to hospital and departmental policies and procedures. Meets key performance metrics regarding workforce optimization and employee productivity, as identified by leadership and Director of Access Management, including scheduler space requirements and technology needs. Reviews recommendations from access team and makes final decisions regarding patient access issues within the clinic. Develops and communicates best practices based on industry intelligence and research. Must be able to perform the professional, clinical and or technical competencies of the assigned unit or department. Required Education and ExperienceHigh School Graduate Bachelors Degree plus 4 years of relevant experience OR Master's Degree (Masters in Healthcare Administration, MBA or related field) plus 2 years relevant experience
Preferred Education and ExperienceEPIC scheduling experience.
