Office Manager
Description We are looking for an experienced Office Manager to join our team in Madera, California. This role is integral to our management team and involves overseeing daily operations, ensuring accurate financial processes, and maintaining a supportive and productive office environment. The ideal candidate will bring strong bookkeeping expertise and organizational skills to help our business thrive. Responsibilities: • Match invoices and receipts to verify billing accuracy and reconcile financial records. • Oversee payroll processes, including verifying timecards and handling biweekly payroll tasks. • Manage accounts receivable and deposit checks on a weekly basis. • File and maintain compliance logs, including worker’s compensation claims and heavy use tax schedules. • Coordinate employee-related processes such as onboarding paperwork, health insurance enrollment, and handbook updates. • Track and report employee health insurance statuses monthly for compliance purposes. • Reconcile credit card statements and itemize expenses for accurate record keeping. • Maintain the office calendar by scheduling meetings, tracking events, and managing time-off requests. • Order and manage office supplies, as well as supplies for other departments as needed. • Collaborate with attorneys and accountants to ensure proper filing and submission of business documents. Requirements • Proven experience in full charge bookkeeping, including accounts payable and accounts receivable. • Proficiency in QuickBooks and other financial management software. • Strong understanding of bank reconciliations and audit compliance. • Demonstrated ability to handle full-cycle payroll processes, including benefits administration. • Excellent organizational skills and attention to detail. • Strong communication skills to foster a positive and collaborative office culture. • Ability to manage employee records and ensure compliance with company policies. • Experience in maintaining accurate financial documentation and filing year-end forms such as W-2 and 1095-C.
