Office Manager
Job Description A Client of Insight Global is seeking an outstanding senior office manager who will oversee day-to-day accounting and administrative operations for a single-office publishing company in Redwood City, CA that researches and publishes business books and online reference products used by banks, restaurants, car rental agencies, and government subscribers. The role is hands-on, working closely with a small team of about 9–10 employees in an office that has no retail traffic. Key responsibilities – Accounting  • Maintain the balance sheet in QuickBooks, including entries for Accounts Payable, prepaid expenses, and other asset accounts.  • Use the company’s custom software to enter detailed transactions for Sales, Accounts Receivable, and A/R payments.  • Process and post memorialized transactions to transfer monthly totals from the custom system into QuickBooks.  • Perform bank reconciliations and process ACH payments. Key responsibilities – Administration  • Serve as primary contact for office vendors, including but not limited to AT&T, Comcast, ADP, IT services, and other office infrastructure providers.  • Coordinate general office infrastructure needs to support a small, single-location office with no walk-in customers.  • Prepare and file use tax returns for approximately 25 states on a monthly or quarterly basis, as required.  • Support general office administration related to the company’s business book and ID-checking e-book products. Seasonal and backup support  • Assist during busy seasonal periods by:  • Helping with incoming orders and ensuring orders are processed out accurately and on time.  • Making calls to past-due customers to follow up on outstanding payments.  • Provide general backup support to the team when order volume or payment processing needs increase. Skills and Requirements Qualifications  • QuickBooks experience required.  • At least 2 years of relevant accounting/office management experience; 6+ years is preferred.  • Experience handling Accounts Payable, basic balance sheet entries, and bank reconciliations.  • Comfort working with custom accounting or order-entry software alongside QuickBooks.
