Thales in the Czech Republic is looking to hire an Office Manager to be responsible for the general operation of our office. Duties will involve office/ facility administration, purchasing, taking inventory, and supervising our office staff to ensure maximum productivity. You will also be required to produce management-level reports for various areas. This position is head of Facility Team and will report to Finance and Options Manager.

Key Responsibilities and Tasks:

Office administration and management of the facility team (2 assistants and a receptionist)Operations of Thales business premises: administering lease agreement and its amendments; cooperation with landlord and external suppliers for building maintenance and building security; occasional adjustments of office space incl. construction works; seating plans; cleaning services management; purchase/lease and inventory of furniture and other office equipmentRegular reporting to corporate HQ (HSE, Climate and Energy) and supporting the budgeting related to business premises operationsBusiness Continuity Plan, Business Resilience, Crisis management and the related annual reportingCar fleet managementMobile devices and subscription services managementMember of the Damage commissionAccommodation & travel management (top level)Organizing and supervising on-site and out-of-office eventsLocal purchasing – negotiations with suppliers, local tenders and supplier selection, approval, and contracting in cooperation with other functional teamsLocal acquisition - ordering and approval processing for all functional teams from a purchasing perspective

Skills:

Proficient in MS Office products (Excel, Word, MS Outlook, MS PowerPoint)Ability to learn quickly and to adapt in a changing environmentAdvanced interpersonal and communication skillsFluency in English and CzechNegotiation skills

Experience with:

Office managementTeam managementOperations in a corporate environment using various corporate MIS tools (Purchasing, Reporting)
