Office Manager
Description Administrative support:  Greet clients and visitors  Screen email phone messages and forward to staff as needed  Responsible for Seattle office opening and closure  Sort and distribute mail and packages daily and notify staff as needed  Responsible for generating mailing labels for outgoing packages and scheduling pick up  Coordinate with Community Engagement Team to ensure upkeep of staging area for client events, order supplies for workshops/events, and other support as needed.  Assist with new employee onboarding and offboarding  Assist with the planning and execution of company events  Responsible for office supply orders for all PRR locations  Responsible for ordering service awards and staff recognition gifts; distribute off-service anniversary gifts to staff  Coordinate scheduling for on-site conference rooms and enforce protocols for scheduling.  Coordinate the use of the company vehicle  Schedule staff headshot sessions  Responsible for catering orders  Maintain cleanliness and organization of common areas (lobby, kitchen, mailroom, storage, etc) in the Seattle office.  Monthly petty cash reconciliation with Administrative Manager  Scan checks and invoices received in the mail to Accounts Payable  Maintain organization of Mail Room and order office supplies inventory as needed  Validate parking  Request banquet permit as needed Kitchen Responsibilities:  Prepare coffee each day and wash carafe end of each day  Maintain snacks/beverages inventory  Set the dishwasher to wash and unload clean dishes  Place monthly Costco order and put away upon arrival  Place coffee and tea order as needed  Manage kitchen supply inventory and order as needed  Responsible for monthly fridge clean out communications to staff Building Management:  Serve as a first point of contact for building management and security  Submit work orders for building access cards and maintenance needs  Reserve building conference rooms as needed by staff  Relay pertinent emails from building management to Seattle In-House Teams channel Office Manager,Accounting Software Systems,ADP - Financial Services,Concur,CRM,Dentrix Dental S Requirements CRM, About Time, Accounting Functions, nswering Inbound Calls, Back Office Support, Basic Office Equipment, Assist Guests, Answering Multi-Line Phone System, Receptionist Duties TalentMatch® Robert Half is the world’s first and largest specialized talent solutions firm that connects highly qualified job seekers to opportunities at great companies.
