Office Manager
Description Robert Half is hiring for an Office Manager for a professional services firm based in Annapolis, MD. Responsibilities + Administrative Support: + Manage the front office, greet clients, answer phone calls, and respond to general inquiries. + Coordinate schedules, meetings, and appointments for staff and executives. + Order office supplies and ensure the office environment is well-maintained and organized. + Assist in organizing company events, conferences, and employee activities as needed. + Ensure that office equipment is functioning properly and arrange for repairs as necessary. + Communication & Coordination: + Act as the main point of contact for vendors, clients, and contractors. + Ensure that office communication (emails, memos, etc.) is clear and consistent. + Support office staff in day-to-day tasks and administrative activities. + Assist with human resources tasks such as employee onboarding, benefits administration, and maintaining personnel records. + Accounts Payable & Receivable: + Handle accounts payable and receivable processes, ensuring that all invoices are paid on time and all incoming payments are recorded accurately. + Reconcile bank statements and credit card transactions, and maintain accurate financial records. + Billing and invoicing for clients Requirements • Proven experience in Office Administration • Proficient in Accounts Payable (AP) and Accounts Receivable (AR) processes • Efficient use of QuickBooks software • Familiarity with Legal Billing procedures • Excellent organizational and multitasking abilities • Strong communication and interpersonal skills • Ability to handle confidential information • Proficient in Microsoft Office Suite, particularly Excel and Word • Problem-solving attitude with an eye for detail • Ability to work independently and within a team • High school diploma or equivalent; BSc/BA in office administration or relevant field is preferred Robert Half is the world’s first and largest specialized talent solutions firm that connects highly qualified job seekers to opportunities at great companies.
